Job description

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
  • Handle data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes
  • Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents
  • Support office management activities including calendar management, appointment scheduling, and coordinating meetings
  • Provide exceptional customer service support via phone, email, and in-person interactions to foster positive relationships
  • Assist with clerical tasks such as proofreading documents, managing correspondence, and supporting administrative projects
  • Maintain office supplies inventory and coordinate with vendors as needed to ensure smooth operations

  • Excellent phone etiquette and customer service skills; bilingual abilities are a plus for diverse communication needs
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Previous experience in front desk or receptionist roles such as dental or medical receptionist is beneficial
  • Demonstrated ability to manage multiple priorities efficiently through effective time management skills
  • Personal assistant or medical receptionist experience is advantageous but not required
