Job description

  • Support the day-to-day administration and maintenance of HR and workforce systems, including i-Trent, Skillsgate, and document management systems.
  • Maintain accurate workforce data by carrying out routine data validation, reconciliation, and quality checks.
  • Produce standard workforce reports and contribute to organisational performance monitoring and management reporting.
  • Support the preparation and submission of workforce data for statutory returns, council reporting, and business projects.
  • Respond to Freedom of Information (FOI) requests relating to HR data, ensuring timely, accurate, and compliant responses.
  • Provide first-line support to HR system users, resolving queries and escalating technical issues where appropriate.
  • Assist with the implementation, testing, and rollout of system updates, enhancements, and new functionality.
  • Promote high standards of data quality, integrity, and compliance with relevant legislation, policies, and procedures.
  • Communicate effectively with internal departments, external stakeholders, and system suppliers to support service delivery.
  • Monitor system performance and identify opportunities for continuous improvement.
  • Maintain confidentiality and ensure the secure handling of sensitive employee information at all times.
  • Contribute to service improvement initiatives by identifying efficiencies and recommending process enhancements.
  • Comply with Health and Safety policies, procedures, and Council regulations.
  • Participate in training, professional development, and the Council's appraisal process.
  • Undertake any other duties appropriate to the grade of the post as directed by the Team Leader.
  • Assist the Council during civil emergencies or business continuity events as required.

Requirements

  • Experience working with HR, workforce, or business systems administration.
  • Knowledge of HR systems such as i-Trent, Skillsgate, or similar workforce management systems.
  • Experience maintaining, validating, and analysing large volumes of data with a high level of accuracy.
  • Ability to produce reports and interpret workforce data for operational and management purposes.
  • Understanding of data protection legislation, GDPR, and information governance principles.
  • Experience responding to information requests, including Freedom of Information (FOI) requests, is desirable.
  • Strong analytical and problem-solving skills with excellent attention to detail.
  • Good verbal and written communication skills with the ability to communicate effectively with a wide range of stakeholders.
  • Strong organisational skills with the ability to manage multiple tasks and meet deadlines.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Ability to provide excellent customer service and first-line user support.
