We're looking for a highly organized, customer-focused Job File Coordinator who thrives in a fast-paced environment and enjoys keeping projects moving from start to finish.
This role is the hub of communication between our customers, technicians, insurance companies, subcontractors, and office staff. If you're someone who loves organization, pays attention to the little details, and enjoys helping people, we'd love to meet you.
What You'll Do
- Manage 30-40 active restoration job files from start to finish.
- Serve as the primary point of contact for customers throughout the mitigation process.
- Schedule inspections, technicians, subcontractors, and equipment pickups.
- Communicate with homeowners, insurance adjusters, contractors, and vendors.
- Ensure all job documentation, notes, photos, and paperwork are complete and accurate.
- Monitor job progress and proactively follow up on outstanding items.
- Keep customers informed with regular updates and answer questions throughout the project.
- Review files for accuracy before they move into billing.
- Assist with permits, work authorizations, invoices, and other administrative tasks.
- Help maintain an organized workflow so every customer receives exceptional service.

- Previous customer service or administrative experience preferred.

- Experience handling Water, Fire, and Mold restoration claims
- Strong customer service and communication skills
- Ability to multitask and manage multiple active job files
- Proficiency with computers and the ability to learn new software quickly
- Highly organized with exceptional attention to detail, * Do you have experience as a Job File Coordinator for a restoration company?
- Are you familiar with DASH/MICA, CompanyCam and/or Xactimate?
