ONPOINT is partnering with Gerber, LLC - a wealth advisory firm built to bring clarity and structure to entrepreneurs navigating growth - to find a Data Operations Scheduling Coordinator to join their Client Advisory Team.
This position combines meticulous document and data management with traditional executive support. The majority of your time will be spent sourcing, filing, and maintaining client records in Salesforce and the firm's document management system, while also managing calendars, scheduling, and light travel coordination for the team. Candidates with experience in structured, high-accuracy environments - such as banking operations, corporate administration, or medical office settings involving insurance paperwork and detailed documentation - often find their skills translate well here.
What You Will Do
- Manage a shared team inbox, ensuring timely and accurate follow-up on client requests
- Source, file, and maintain client records in Salesforce and the firm's document management system, ensuring compliance with internal policy
- Serve as a liaison between clients' trusted advisors and internal teams to gather information needed for financial planning
- Maintain and update Salesforce calendars for leadership and client meetings, coordinating necessary travel
- Identify and resolve scheduling conflicts proactively
- Support data-related projects that improve client service and compliance
- Uphold data accuracy standards across the client lifecycle, * Describe your experience managing detailed, high-accuracy paperwork or records (e.g., in banking, insurance, medical, or financial services).
Requirements

You're comfortable working independently once trained, and you know how to be warm and approachable with clients while remaining process-driven throughout the day., * At least 4 years of proven administrative experience working in a detail-driven environment, with an emphasis on document management, forms review, and executive support
- Strong personal organization, with the ability to build and maintain checklists and workflows independently
- Clear, professional written and verbal communication skills
- A track record of catching errors early before they become a burden, * Background in a structured, high-accuracy environment (banking operations, corporate administration, or medical/insurance office administration)
- Familiarity with CRM and document management platforms (Salesforce experience a plus)
- Experience working in a service-center or shared-services environment managing documents and correspondence
- Bachelor's degree from a regionally accredited institution, * How many years of administrative experience do you have, and how many of those years were in a relevant industry (banking, financial services, or medical/insurance)?
