Job description

A career with meaningful impact: The Department of Labor and Industry's (DOLI) Central Region Office is currently seeking an Administrative and Office Specialist III / Program Support Technician with exceptional customer service and communication skills. This critical position is the administrative support position for the agency's Central Region Office. The incumbent of this position is the first point of contact for employers and members of the general public and serves a critical role in listening to complainants and referring them to the appropriate source to address their concerns. This position will also serve as back up to the Office Services Supervisor in the Central Region Office.

This position provides critical support to the DOLI professional staff assigned to the office, supporting Virginia Occupational Safety and Health (VOSH), Wage Protection Division, Consultation Programs, and the Voluntary Protection Program (VPP). In addition, it serves as a liaison with Headquarters Offices staff to collect information for their needs.

Examples of duties of the incumbent will be assisting callers and visitors over the phone and in person, administering the main phone and voicemail system, prepare, sort, and distribute agency mail, prepare a variety of correspondence, ensuring confidential record keeping and data entry, maintain physical and digital files for appropriate program, as well as providing administrative support to employees and agency programs.

Requirements

  • Considerable recent experience in a professional administrative office setting providing customer service and administrative support to include drafting routine correspondence, reporting generating, record keeping, and other related professional administrative office duties and program supports tasks.
  • Exceptional front-facing customer service skills. This includes the ability to de-escalate stressful situations and handle visitor inquiries courteously.
  • Demonstrated skill in the use of Microsoft Office Suite to include Word and Excel to complete office support transactions.
  • Demonstrated experience entering, tracking, and retrieving data in automated systems or databases.
  • Demonstrated ability to organize and prioritize work, meet multiple competing deadlines, and complete tasks in a timely manner while exhibiting acute attention to detail.
  • Demonstrated ability to professionally communicate effectively (both written and verbal) with customers, employees, and other individuals to answer questions and disseminate or explain information in a courteous and professional manner.
  • Experience working independently and as a team member with minimal supervision.

Additional Considerations

  • Bilingual fluency speaking, reading, and writing in Spanish.

Special Requirements:

  • Must be able to work public service hours in the office M-F, 8:00 A.M. to 4:30 P.M.
  • Ability to perform moderate physical activity that includes, but is not limited to climbing stairs and ladders, bending, walking up and down inclines, occasionally lifting and carrying loads up to 30 pounds, etc.
  • The selected candidate must successfully pass a criminal background investigation, and must successfully serve a 12-month probationary period effective from the date of employment if beginning employment as an original hire or re-employment.
