The Operations & Technology Manager serves as a central hub for organizational operations, technology systems, facilities management, and administrative support. This role ensures that staff, contractors, and community members have the infrastructure, systems, and support needed to work effectively. The position combines technology administration, office management, systems coordination, event logistics, and cross-functional operational support.
The ideal candidate is highly organized, detail-oriented, technologically savvy, and comfortable managing multiple projects while serving as a liaison between staff, vendors, community partners, and building management.
Key Responsibilities
Program Administration & Financial Coordination
- Support contract and program administration, including deliverable tracking, timely report submissions, and maintaining up-to-date compliance documentation across all programs.
- Monitor and coordinate subcontractor and vendor compliance, including collecting and reviewing reports and invoices on time, ensuring all documentation and certifications are current, conducting routine compliance communications, coordinating subcontractor convenings, and escalating issues as needed.
- Support program managers in, monitoring, and tracking program budgets.
- Maintain and regularly update budget tracking tools and assist with expenditure monitoring to ensure alignment with grant and contract requirements.
- Prepare, process, and track invoices for contracts, grants, facility rentals, and fee-for-service activities; ensure all supporting documentation is complete and accurate prior to submission.
- Coordinate billing activities and ensure timely submission of invoices and required documentation in accordance with funder and contractual deadlines.
- Track payments, receivables, and outstanding invoices in collaboration with finance staff; maintain accurate records.
- Assist with grant budget management, expense allocations, and financial reporting preparation.
- Monitor program spending and communicate budget variances or concerns to supervisors and program leads.
- Administer contractor agreements, coordinate payment processing, and maintain required supporting documentation.
- Support procurement activities, vendor payments, and purchasing processes.
- Maintain organized financial and program records to support audits, grant monitoring, and organizational compliance.
- Generate administrative and operational reports for leadership, funders, and program managers.
- Perform other administrative and programmatic duties as assigned by Program Directors to support organizational and program goals.
Technology Administration & Systems Support
- Manage employee onboarding and offboarding processes, including technology provisioning, account setup, and access management.
- Coordinate onboarding/offboarding timelines and ensure compliance with organizational procedures.
- Provision, configure, reset, and maintain laptops, printers, software, and other technology equipment.
- Conduct routine device health checks, troubleshooting, software updates, and warranty tracking.
- Manage service tickets and coordinate with external IT vendors as needed.
- Address technology-related issues including email systems, domains, network services, application access, and cybersecurity concerns.
- Provide administrative support for Google Workspace and Microsoft 365 environments.
- Maintain device inventory and technology asset tracking systems.
- Develop and maintain technology guides, documentation, and user support resources.
- Provide in-office technical support for staff and organizational equipment.
Salesforce & Data Systems Administration
- Serve as the primary Salesforce administrator and organizational point of contact.
- Maintain user access, system functionality, and data integrity.
- Support data migration and integration, including Salesforce reconfiguration projects and ongoing system improvements.
- Evaluate organizational data needs and recommend enhancements to support service delivery, reporting, and grant requirements.
- Develop system documentation and user guides.
Community Center & Facility Management
- Manage scheduling and utilization of community center spaces.
- Coordinate internal meetings, programs, and external facility rentals.
- Maintain facility use applications, approval processes, and related documentation.
- Coordinate liability and facility-use requirements with appropriate staff.
- Support planning and logistics for community meetings, workshops, and events.
- Serve as liaison with building management regarding facility issues, maintenance, and shared space usage.
Office Operations & Administration
- Oversee day-to-day office operations and facility needs.
- Coordinate equipment maintenance, internet services, printers, audiovisual systems, and office infrastructure.
- Monitor and troubleshoot building and facility-related issues.
- Provide office coverage and operational support as needed.
- Manage mail processing, scanning, and document tracking.
- Maintain operational policies, procedures, and internal guides; coordinate with other managers and supervisors to update these policies with changing program and organizational needs.
- Coordinate external vendor relationships and service providers.
Event & Program Support
- Support planning and coordination of internal and external events.
- Assist with logistics for organizational meetings, community programs, and special events.
- Provide operational support for community workshops and classes, community outings, and organizational activities.
- Coordinate scheduling, communications, and event-related documentation.
- Support day-of event operations as needed.
Communications & Organizational Coordination
- Serve as a liaison between staff, building management, vendors, and external stakeholders.
- Coordinate operational communications with service providers, government offices, and community partners.
- Assist with calendar management and scheduling processes.
- Develop organizational documentation, guides, and operational resources.
Community Outreach & Partnership Support
- Provide operational support for outreach activities and community engagement efforts.
- Collaborate with Outreach Manager and conduct visits to community-based organizations and partner sites.
- Build and maintain relationships with community partners and stakeholders.
- Support organizational logistics, storage management, and program coordination.
Finance & Administrative Support
- Support Bill.com and related financial systems.
- Process expense reimbursement documentation.
- Track contractor agreements, invoices, and billing documentation.
- Assist with payroll and HR systems testing and support.
- Respond to staff questions regarding administrative and operational systems.
- Maintain accurate records and compliance documentation., This position is primarily office-based and requires regular interaction with staff, community members, vendors, and partners. Occasional evening and weekend work may be required to support events, meetings, and community activities.

- This position frequently remains in a stationary position (sitting or standing) at a workstation operating a computer, telephone, and other office equipment for extended periods of time. The role operates a computer and other office productivity devices such as a keyboard, mouse, copy machine, scanner, and printer, requiring repetitive hand/wrist/finger motions and fine motor coordination.
- This position frequently positions self to access low and high storage (e.g., bending, kneeling, reaching above shoulder level) to retrieve and organize files, event materials, and equipment including moving and lifting boxes of paper, equipment, and supplies, typically weighing up to 25 pounds, and occasionally up to 50 pounds, across the office and to on-site event locations.
Requirements
- Bachelor's degree with equivalent professional experience.
- 3 or more years of experience in operations, office administration, technology support, nonprofit administration, or related fields.
- Strong proficiency with Google Workspace and Microsoft 365.
- Experience managing technology systems, software platforms, or databases.
- Excellent organizational and project management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and work independently.
- Customer-service orientation and problem-solving mindset.
Preferred
- Experience with Salesforce administration.
- Experience in nonprofit, community-based, or public service organizations.
- Familiarity with HR onboarding processes and technology asset management.
- Experience coordinating events and facility scheduling.
- Multilingual abilities and experience working with diverse communities.
- Knowledge of financial and payroll systems such as Bill.com, Paychex, or TriNet.
