Job description
The CRM Data Entry & Database Administration Specialist is responsible for maintaining the accuracy, integrity, and usability of the organization's Customer Relationship Management (CRM) system. This role supports data entry, database management, periodic audits, reporting, and general administrative functions to ensure reliable data for reporting, compliance, and decision-making. The position partners closely with operations, finance, and leadership to support efficient business processes., CRM Data Entry & Maintenance
- Enter, update, and maintain accurate records in the CRM system, including contacts, accounts, activities, and related data
- Ensure all CRM data is consistent, timely, and adheres to internal data standards
- Validate incoming data for completeness and accuracy
- Perform routine data cleanup, deduplication, and formatting
Database Management & Audits
- Conduct regular audits of CRM and database records to ensure data integrity and compliance
- Identify and resolve data discrepancies, errors, and outdated records
- Document audit findings and recommend process improvements
- Assist with database structure maintenance, data fields, and user access permissions
- Support data migration, imports, and exports as needed
- Monitor CRM data quality and recommend improvements to data standards, workflows, and administrative processes.
Reporting & Documentation
- Generate recurring and ad hoc CRM reports for management and department stakeholders
- Maintain documentation for CRM processes, data standards, and workflows
- Track data quality metrics and audit results
Administrative Support
- Provide general administrative assistance, including scheduling, filing, and correspondence
- Support internal teams with CRM-related requests and troubleshooting
- Assist with preparing presentations, spreadsheets, and internal documents
- Support onboarding and training related to CRM usage and administrative processes
Requirements
- High school diploma or equivalent (Associate's or Bachelor's degree preferred)
- 1-3 years of experience in data entry, CRM/database management, or administrative support
- Strong attention to detail and commitment to data accuracy
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Ability to quickly learn new software applications and internal business processes
- Proficiency in CRM systems (e.g., Salesforce, Dynamics, HubSpot, Ajera, or similar)
- Strong skills in Microsoft Excel and Microsoft Office Suite
- Ability to handle confidential information with discretion
Preferred:
- Experience performing data audits or quality control
- Familiarity with reporting, data validation, or compliance processes
- Experience supporting finance, operations, or executive teams
