Job description

We are one of the largest board games and TCG distributors in the United States. Our corporate office is based in Sanford, FL. We carry a full line of TCGs, miniatures, board games, card games, RPGs, dice, and gaming supplies from the industry's top manufacturers. We are currently looking for a dedicated Organized Play Coordinator/Data Support to join our team!, We are seeking a highly organized, detail-oriented Organized Play Coordinator / Data Support Specialist to serve as a key liaison between our external vendor partners and internal sales team. This role combines communication, data management, and marketing support to help drive the success of organized play programs and product initiatives.

The ideal candidate is comfortable working with large sets of data, excels in cross-functional communication, and has a passion for TCG and tabletop gaming programs at the hobby retail store level.

Essential Functions for Organized Play Coordinator/Data Support include but not limited to:

  • Act as a primary point of contact between outside vendors and internal sales team with regards to organized play programs and product promotions
  • Coordinate communications to ensure alignment on product availability, organized play initiatives, and program requirements.
  • Facilitate timely updates, issue resolution, and relationship management

Organized Play Program Coordination

  • Support participation in organized play programs such as: Wizards Play Network (WPN), Play! Pokémon, and Ravensburger Play Hub (RPH)
  • Assist retail partners with onboarding and maintaining participation in all supported organized play programs
  • Stay informed on program requirements, updates, and best practices
  • Serve as an internal subject matter resource for all supported organized play programs and platforms.

Data Management & Reporting

  • Extract data from ERP systems to generate reports for internal decision makers
  • Clean, organize, and structure raw data into actionable insights using Microsoft Excel
  • Develop and maintain reporting tools that support the sales team
  • Identify trends and provide recommendations based on data analysis

Marketing & Promotions

  • Create and publish marketing content for website and social media platforms
  • Promote upcoming products, organized play events, and vendor initiatives

Problem Solving & Process Improvement

  • Identify inefficiencies in workflows and recommend improvements
  • Resolve issues related to data discrepancies, vendor coordination, and products

Requirements

  • High School Diploma or Equivalent
  • Bachelor's Degree in marketing, business administration, or a related field is a plus

Requirements: (Bilingual English/Spanish)

  • 2+ years of experience working with data sets and transforming raw data into functional formats
  • Proficiency in Microsoft 365, with strong emphasis on Excel (data manipulation, sorting, filtering, formulas)
  • Strong organizational and problem-solving skills
  • Professional written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Familiarity with organized play programs (WPN, Play! Pokémon, RPH)
  • Background or interest in TCGs, tabletop gaming, or hobby retail
  • Experience managing or supporting retail store operations or vendor relations

Preferred:

  • Experience with ERP systems and reporting tools
  • Experience with writing concise product highlights
  • Direct hobby retail experience
