Job description
The Program Data & Revenue Coordinator plays a vital role in supporting the financial health, operational effectiveness, and regulatory compliance of New Horizons. This position is responsible for coordinating Medicaid billing, third-party reimbursement, program data management, contract reporting, and financial reconciliation activities while ensuring accuracy, timeliness, and compliance with funding requirements. Working collaboratively with program leadership, therapists, and the Finance Department, this position helps ensure services are documented appropriately, reimbursement is maximized, and data supports informed operational decision-making. Revenue Cycle & Billing Management
- Coordinate and complete Medicaid and third-party billing activities for agency clinical services, ensuring claims are submitted accurately, timely, and in accordance with payer requirements.
- Monitor, reconcile, and resolve denied or rejected claims while working collaboratively with therapists, supervisors, and finance staff to correct documentation deficiencies and maximize reimbursement.
- Maintain accurate billing records and ensure all supporting documentation meets Medicaid, contractual, state, federal, and agency requirements.
- Monitor billing deadlines and proactively communicate issues that could delay reimbursement or impact agency revenue.
Program Data Management & Reporting
- Complete monthly data entry, reporting, and billing activities for the Family and Youth Success (FAYS) Program.
- Enter, review, reconcile, and maintain accurate program data within PEIRS and other required agency databases while ensuring completeness, accuracy, and timely submission.
- Generate reports and assist leadership in tracking program utilization, outputs, outcomes, contractual deliverables, and performance measures.
- Analyze billing, reimbursement, and program data trends to identify discrepancies, improve processes, and provide leadership with information that supports operational and financial decision-making.
Compliance, Documentation & Quality Assurance
- Review program documentation for accuracy, completeness, and compliance with funding requirements while communicating professionally with staff regarding missing, incomplete, or inaccurate documentation and ensuring timely resolution.
- Support internal quality assurance initiatives and external audits by maintaining organized records and providing requested billing, financial, and program documentation.
- Maintain electronic and physical records in accordance with agency policies, confidentiality standards, and applicable regulations.
Financial Operations & Administrative Support
- Support monthly reconciliation activities by comparing billing records, service documentation, program data, and financial reports to ensure accuracy and accountability.
- Collaborate with the Finance Department to support accurate revenue recognition, financial reporting, fiscal sustainability, and continuous improvement of billing and reimbursement processes.
- Assist with financial documentation, administrative projects, and other duties assigned by the Chief Financial Officer that support agency operations.
Collaboration & Professional Responsibility
- Build positive working relationships with program staff, therapists, supervisors, and finance personnel to promote effective communication, accountability, and efficient agency operations.
- Demonstrate exceptional organization, attention to detail, and time management while balancing multiple priorities and meeting established deadlines.
- Protect confidential financial, clinical, and employee information in accordance with HIPAA, agency policy, and applicable regulations.

Requirements
- Associate's degree in accounting, business, healthcare administration, finance, information systems, or related field required; Bachelor's degree preferred
- Experience with Medicaid billing preferred
- Experience with healthcare reimbursement
- Strong analytical skills
- Excellent attention to detail
- Ability to interpret funding contracts
- Experience with Excel
- Database management
- Ability to manage multiple deadlines
