Job description

Multi Trades Recruitment are recruiting for a Helpdesk Administrator to join a busy facilities maintenance company. This is a fantastic temp to perm opportunity for an organised and proactive individual with scheduling experience who thrives in a fast-paced environment and enjoys delivering excellent customer service., * Answer incoming calls and emails from clients, subcontractors and engineers

  • Log and manage maintenance jobs accurately through the helpdesk system
  • Schedule engineers and coordinate maintenance works efficiently
  • Liaise with engineers, subcontractors and suppliers to ensure works are completed on time
  • Raise, send and follow up quotations
  • Keep clients updated on job progress from start to completion
  • Escalate urgent or overdue jobs where necessary
  • Maintain accurate job records and prepare basic reports
  • Monitor SLAs and KPIs, ensuring deadlines are met
  • Triage incoming maintenance requests and allocate the correct priority
  • Process invoicing and update client portals and internal systems
  • Work closely with the wider facilities maintenance team to ensure excellent service delivery

Requirements

  • Previous experience in a helpdesk, scheduling, facilities maintenance or customer service role
  • Experience scheduling engineers or maintenance works is essential
  • Strong organisational skills with excellent attention to detail
  • Able to prioritise workloads and manage multiple tasks simultaneously
  • Confident telephone manner with professional written communication skills
  • Comfortable using Outlook, Excel and job management systems
  • Calm under pressure and able to work in a fast-paced environment
  • Proactive, reliable and customer focused
  • Strong problem-solving skills with the ability to manage changing priorities
  • Looking for a long-term opportunity with the potential to become permanent, * Scheduling: 2 years (preferred)
  • Help desk: 1 year (preferred)
  • Facilities maintenance: 1 year (preferred)
