Job description
The IT Department Coordinator provides administrative and coordination support across the entire IT/Development department, working closely with and reporting to the Director of Technology. This is a department-wide coordination role, not a single-executive support role: the coordinator owns the structure and rhythm of department meetings, keeps vendor outreach and follow-up moving, manages documentation and forms, and can respond on the Director's behalf when he is unavailable. It's an ideal entry point into the technology field for someone who is highly organized, a clear communicator, and eager to build toward a career in program management or business analysis., Department Meeting Structure
- Own the cadence and structure of department meetings - building agendas, keeping meetings on track, and ensuring the right topics get covered.
- Take detailed, organized notes across department meetings.
- Track action items and to-dos generated across the department, and follow up with owners to keep them moving to completion.
- Distribute meeting notes, agendas, and follow-up summaries to relevant stakeholders.
Vendor Outreach & Coordination
- Conduct initial outreach to prospective and existing vendors on behalf of the department.
- Track outstanding vendor requests and proactively follow up to keep evaluations and projects moving.
- Schedule and coordinate vendor calls, demos, and check-ins; serve as a primary point of contact for logistics.
- Maintain an organized log of vendor communications, contacts, and status updates.
Calendar & Correspondence Support
- Maintain and manage calendars, resolving scheduling conflicts and prioritizing time effectively.
- Respond to routine correspondence on the Director's behalf when he is unavailable or at capacity, escalating anything that needs his direct attention.
- Coordinate internal and external meeting logistics, including room/video setup and attendee communication.
Documentation & Forms
- Update internal documentation to reflect findings from vendor evaluations, meetings, and department decisions.
- Fill out and review forms on behalf of the department, including vendor, procurement, and administrative paperwork, flagging errors or missing information before submission.
- Organize and maintain a central, easy-to-navigate repository of department documents, contracts, and reference materials.
- Ensure documentation stays current, accurate, and accessible to relevant stakeholders
General Administrative Support
- Provide day-to-day administrative support across the IT/Development department as needed.
- Assist with tracking department budgets, invoices, or purchase requests related to vendor engagements.
- Support the coordination of small projects and initiatives across the IT/Development team.
Requirements
- Bachelor's degree or equivalent experience preferred; open to strong candidates without a degree.
- 0-2 years of professional experience; internships or coursework in business, communications, or IT are a plus.
- Excellent written and verbal communication skills, with comfort corresponding directly with external vendors and, at times, on the Director's behalf.
- Strong organizational skills and close attention to detail, including when reviewing forms and paperwork for accuracy.
- Good judgment in knowing what can be handled independently versus what needs to be escalated to the Director.
- Ability to manage multiple priorities and follow through independently on open items.
- Comfortable learning and working with calendar tools, documentation platforms, and basic project-tracking software (e.g., Google Workspace/Microsoft 365, Confluence/Notion, Jira/Asana).
- Ability and willingness to work on-site in our Playa Vista, CA office 5 days per week

Pay:
- $25.00-$29.00/hour based on experience/education.
