Job description

(Note: This is not a technology or data analytics position, but rather an administrative role processing requests for patient medical records.), * Receives incoming requests for protected health information (via fax, phone, email) and screens requests for compliance with federal/state regulations and policies governing the release of information.

  • Researches patient demographics/visits and retrieves patient information from electronic medical record (EMR) and paper-based systems to fulfill requests accurately, efficiently, and on time.
  • Provides follow-up to the requestor when no records are found.
  • Prioritizes, fulfills, and logs all requests for PHI. Releases information in requested format (i.e. hard copy, external drive, secure email, portal, and other approved secure methods.
  • Invoices and processes payments for ROI services, adhering to policy and federal/state regulations.
  • Communicates effectively both verbally and in writing with requestors (i.e., timely, courteous). Always maintains the highest standards of patient privacy and information security.
  • Recognizes and reports problems or discrepancies encountered in performing job functions.
  • Meets annual goals, quality and productivity standards established with supervisor.
  • Performs other duties as requested.

  • Excellent organizational skills, detail-oriented, ability to set priorities, and problem-solving.

  • Knowledge of electronic medical records systems such as EPIC and the use of other software, including Microsoft.
  • Communicates effectively, professionally, and respectfully with internal and external customers.

  • Ability to adapt to changing workload and workflow without interference to the quality of work and timeliness of work.
  • Proven ability to work independently with minimal supervision., * Associate degree in health information technology or an associated health care field preferred.
  • Prior work experience (minimum 1 year) in the release of information or health information department preferred.
  • Working knowledge of HIPAA and privacy standards preferred.
