Job description

We are looking for a sharp, detail-oriented analyst - ideally a recent college graduate with strong Excel skills and a hunger to make an immediate, visible impact - to build and own our sales pipeline tracking system from the ground up - and to provide analytical support across the business, principally in support of the company's sales representatives. Duties include operational analysis for the VP&GM as he runs our manufacturing operation and financial analysis for our part-time CFO. This is a hands-on, high-visibility role reporting directly to the VP&GM and working closely with the broader leadership team. You will sit at the center of our commercial engine at one of the most exciting moments in the company's history.

What You Will Do

Pipeline Design & Management

  • Design and maintain a comprehensive Excel-based sales pipeline tracker covering all active leads, opportunities, and deals. Leads originate from the p-ISR and ISR The company's pipeline is confidential and available for view only by Authorized Personnel. Channel partners opt in to account protection by requesting whether individual accounts are available, and cannot view the entirety of the protected accounts.

  • Confirm and document the ISR commission sharing structure per account. Distinguish between soft account assignment (initial period of outreach prior to a defined project) and firm account protection (once 2-way discussions with client about a specific project are underway). Develop guidelines to ensure fair treatment of account ownership regarding assignment, dormancy, regular progress reports, and discussions prior to changes of account ownership. Establish and enforce a consistent lead-entry protocol so that every new opportunity is captured within a tdb timeframe from first contact

  • Confirm NDA/CDA are in place before structured communications where confidential information is shared are started.

  • Build dashboards and summary views that give the CEO an at-a-glance picture of pipeline health, stage distribution, and revenue potential at any time

Lead Tracking & Follow-Up Discipline

  • Develop a "next steps" system to organize the action items for important accounts. Check in and support ISRs with reminders, reach outs, and other actions that ISRs request

  • Flag leads that have gone stale, missed follow-up windows, or require CEO or ISR action - and proactively surface these to the appropriate owner

  • Maintain a master contact log with complete interaction history for each prospect

  • Coordinate with the ISRs to schedule follow-up calls, demos, and check-ins, ensuring no commitment falls through

  • Additional projects and related duties to be determined in support of the sales and management

Pipeline Analysis & Reporting

  • Assign and maintain probability scores, deal values, and estimated close dates for each opportunity, keeping these dates current as deals progress

  • Produce a weekly pipeline report for the CEO with key metrics: total pipeline value, weighted pipeline value, stage-by-stage conversion rates, and a prioritized action list

  • Develop ad hoc analyses as requested - e.g., win/loss patterns, ISR performance comparisons, lead source effectiveness

Process & Documentation

  • Document all pipeline processes and tracker logic so the system can be maintained, audited, and eventually migrated to a CRM with minimal disruption

  • Identify gaps, bottlenecks, and inefficiencies in the current lead-handling workflow and recommend practical improvements

  • Support the CEO and sales team with data entry, contact research, and other operational tasks as needed

Cross-Functional Analysis Support

  • Assist the ISRs with the sales process by taking on the role of action item tracker to ensure follow-up and critical actions are being performed.

  • Support the Chief Financial Officer with financial analysis of the business, including budgeting, cost and margin analysis, cash-flow review, and ad hoc financial modeling.

  • Confidential Information Memorandum (CIM) graphics, tables, and custom data presentation as required

  • Potential add-on functions may include setting up and administering the company's social media accounts, expansion into proposal preparation, and generally helping the company simplify and automate many of its manual recurring tasks.

  • Build financial models and analyses to evaluate proposed contracts and other strategic opportunities, quantifying the costs, returns, and risks to inform leadership decisions.

What You Will Build

In your first 60-90 days, you will design and deliver the following core tools:

  • Master Pipeline Tracker - Stage-gated opportunity log with deal value, probability, expected close date, lead source, assigned owner, and full status history

  • Lead Intake Log - Standardized entry form or structured sheet that captures every inbound lead the moment it arrives

  • Follow-Up Alert System - Rule-based or conditional-formatting system that flags overdue follow-ups and upcoming commitment deadlines

  • Weekly CEO Dashboard - One-page summary with pipeline value by stage, top 10 opportunities ranked by priority, and a red/yellow/green status at a glance

  • ISR Activity Tracker - Individual scorecards for each sales rep showing activity levels, pipeline contribution, and deal progression, Pipeline tracker live and populated with all current leads; first weekly CEO report delivered

Day 60

Zero leads more than TBD days without a logged follow-up action; ISR scorecards active (Successful candidate develops the standard process for this task)

Day 90

Full suite of dashboards operational; pipeline conversion rates and weighted value reported weekly; process documentation complete

Requirements

  • Bachelor's degree in Data Analytics, Business Administration, Finance, Information Systems, or a related field - or equivalent demonstrated capability

  • Advanced proficiency in Microsoft Excel: pivot tables, VLOOKUP / XLOOKUP, INDEX-MATCH, conditional formatting, named ranges, and data validation. Capability of supporting the integration of PowerBI working in conjunction with a programmer(s).

  • Demonstrated ability to design structured, user-friendly spreadsheet systems - not just fill in existing ones

  • Exceptional attention to detail and a near-zero tolerance for data errors or incomplete records

  • Discipline and willingness to work with confidential information including customer names, and commission amounts without unauthorized disclosure

  • Strong written and verbal communication skills; comfortable and efficient interacting with senior leadership on a daily basis,

  • Self-starter mindset - you see what needs to be done and you do it without waiting to be asked

  • Comfort operating in a fast-moving, resource-constrained startup environment where priorities can shift quickly

  • Solid grasp of core business and financial concepts - budgets, costs, margins, and cash flow - with the ability to build and interpret basic financial models

  • Adaptable, fast learner, comfortable working across functions - from sales operations to manufacturing and finance - and picking up new business domains quickly

Preferred

  • Internship or project experience involving sales operations, revenue operations, or CRM administration

  • Familiarity with CRM concepts (Salesforce, HubSpot, Pipedrive) even if not a day-to-day user

  • Experience building Excel models with automated alerts or dashboards using Power Query or basic VBA macros

  • Exposure to B2B sales cycles, channel sales, or independent sales representative models

  • Experience working with or reporting to a founder, CEO, or small leadership team

  • Coursework, internship, or project experience in financial analysis, accounting, FP&A, or operations / supply-chain analytics
