The Project Manager oversees assigned architectural projects from initiation through completion. This role is responsible for independently managing project scope, schedule, and budget to ensure high-quality deliverables, client satisfaction, and project profitability.
This position requires a highly proactive, self-directed professional who takes full ownership of their projects, anticipates challenges, drives solutions, and communicates clearly and consistently without the need for close oversight. The Project Manager is expected to lead with initiative, maintain forward momentum, and ensure alignment across clients, consultants, and internal teams while maintaining compliance with firm standards, QA/QC procedures, and internal workflows.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Project Leadership & Execution
- Lead assigned projects from planning through completion by maintaining project schedules, task lists, and milestone deadlines in Microsoft Teams and Planner. Monitor progress, anticipate risks, resolve issues proactively, and ensure projects are delivered on schedule, within budget, and in accordance with firm standards. Prepare monthly project health reports summarizing schedule, budget, QA/QC status, risks, and recommended actions.
Budget & Resource Management
- Monitor project budgets, labor utilization, and timekeeping to ensure accurate tracking and financial performance. Identify budget variances early and independently adjust staffing, workflow, and project schedules to maintain profitability within approved budget parameters.
Quality Assurance & Technical Oversight
- Plan, conduct, and document QA/QC reviews before each project milestone using firm standards and QA checklists. Ensure all deliverables are accurate, complete, code-compliant, and meet contractual and HMA quality expectations before submission.
Team, Consultant & Client Coordination
- Serve as the primary point of contact for assigned projects by leading coordination with clients, consultants, Job Captains, and production staff. Facilitate project meetings, communicate clear expectations, document decisions and action items in Microsoft Teams, proactively resolve coordination issues, and ensure timely completion of assigned tasks and deliverables.
Independent Decision Making & Accountability
- Exercise sound professional judgment by independently managing day-to-day project priorities, schedules, and consultant coordination within approved budgets and project scope. Escalate significant scope changes, contractual issues, fee impacts, or project risks to the Vice President with proposed solutions and recommendations.
Requirements
- 10+ years of project management experience, preferably in an architectural or related professional services environment.
- Proven ability to work independently, manage multiple priorities, and drive projects forward with minimal oversight.
- Strong organizational, problem-solving, and decision-making skills.
- Excellent written and verbal communication skills, with a proactive communication style
- Strong understanding of building codes, constructability, detailing, and documentation quality
- Experience working with AutoCAD and Bluebeam Revu
- Working knowledge of Microsoft 365 / Microsoft Office, * Must be able to walk and stand on construction sites, including over uneven surfaces, stairs, and temporary structures, for periods up to 1-2 hours.
- Ability to climb ladders or scaffolding occasionally, following all required safety protocols.
- Ability to bend, stoop, or kneel occasionally to inspect construction elements.
- Ability to carry or lift items such as plans, documents, or small tools weighing up to 20-25 lbs occasionally.
- Ability to operate standard office equipment, including computers, phones, and printers.
- Visual and auditory ability sufficient to review plans, read digital and printed materials, and communicate effectively in office and on-site settings.
- Must comply with all site-specific safety requirements, including wearing personal protective equipment (PPE) as required.
