Job description

The Technology Manager will be responsible for a wide range of technical support needs and projects, which includes providing direct support to staff, applicants, and grantees, as well as vendor management and oversight of buildouts and implementations within our Salesforce-based grants management system., The candidate will be coming into a tech stack that is solid, well-developed, and highly functioning. With an effective and efficient grantmaking process built on Salesforce and Smartsheet, including numerous integrations and apps, what we have is working well for us. We have extensive documentation in place for processes, including tech admin tasks. Maintaining these systems is the key to success.

Our main priority is keeping the high volume grants pipeline flowing with as little disruption as possible. We favor stability over fast paced innovation just to use the newest, flashiest tool. We consider ourselves human-oriented and do not lean on AI for any aspect of our work.

Due to the nature of our personal and nuanced approach to grantmaking, automation can only go so far. Many tasks and processes must be tackled on a case-by-case basis, which requires systems that are flexible enough to accommodate exceptions. We seek to have technology serve our processes, rather than limit or impede us by being overly rigorous or rule bound.

  • Provide hands-on Salesforce (and Salesforce-related technology) maintenance, customization and configuration to the custom Grants Management System (GMS)
  • Configure and build forms using Salesforce Flows
  • Customize API and other integrations such as Smartsheet, GridBuddy, SuperClone Pro, Candid, and Bill.com
  • Conversion from Salesforce Process Builder to Flows
  • Building RFPs and other communications via MailChimp and Creative Mail, including managing testing
  • Troubleshoot GMS issues as presented by both staff and external users
  • Provide personalized, one-on-one tech support for grantees, sometimes at a high volume
  • Maintain data integrity, including clean up, migration/entry via GridBuddy and Salesforce reports; and managing backups
  • Prepare and maintain project management timelines
  • Keep informed of tools and current thinking in the field

Tech Support & Equipment

  • Maintain and replace all hardware and software as needed
  • Develop processes and standards for hardware, software, and services
  • Configure and administer all user accounts for all software
  • Provide training to staff on technology, including developing written training materials and policies
  • Ensure information security within all IT and mobile communications-related activities
  • Make recommendations for all software and hardware purchases
  • Serve as the primary liaison with the Foundation's IT consultants as needed

  • Human Resources: BambooHR, Breezy, GoalSpan, Checkr, This position's work is primarily conducted at a desk setting. While the Foundation can provide accommodations such as standing desks, the majority of the time spent during working hours is stationary. Other considerations:
  • Use of virtual communications and online collaboration tools
  • Continuous operation of a computer and other office technology
  • Frequent communication (during standard office hours) with grantees needing technical support; must be able to exchange friendly and accurate information in these situations

Administrative This position does not have administrative support, so the employee is responsible for managing their own calendar, travel, time tracking, and work plan.

Requirements

We are seeking a highly organized, administrative level multi-facetted tech expert with extensive Salesforce experience. The Technology Manager will support ten staff who work remotely and on site in two office locations (San Francisco, CA and Annapolis, MD).

A minimum of three years' experience in the following areas is required:

  • As a Salesforce Admin
  • In an operations and technical support coordination role
  • Working within philanthropic or nonprofit organizations

The successful candidate provides technical support with empathy and kindness, with a keen eye towards customer service. You are calm, grounded, and patient, even when faced with numerous requests from people with a wide range of technical expertise., * Proactive work ethic, highly self-motivated; capacity to work independently, but still take direction and work with existing systems

  • A strong systems orientation and natural curiosity, with a track record of improving and enhancing existing technologies
  • Exceptional project management skills, with a demonstrated ability to take ownership of complex projects from conception to fruition
  • Able to prioritize multiple deadlines decisively and quickly; strong time management skills
  • Works with minimal supervision and a strong desire to independently problem-solve
  • Hyper-organized and detail-oriented
  • Strong active listening and communication skills and a customer service orientation towards a wide variety of stakeholders with a range of technical expertise
  • Operates within the Foundation as a confident team member and projects a respectful, constructive, conscientious image on behalf of the Foundation
