Job description
The Licensing Technician supports the organization through accurate, timely execution of all pharmacy licensing tasks. This is a transactional, process-driven role responsible for maintaining the organization’s active license inventory, managing renewals, and executing all state board submissions under established SOPs., License Management
- Maintain a complete and accurate inventory of all corporate, facility, non-resident, pharmacist, and technician licenses.
- Track renewal deadlines; execute renewals with sufficient lead time to prevent lapses.
- Maintain DSCSA, NABP, and third-party regulatory profiles.
Payor Support
- Application Submission: Submit applications for third-party payor contracts, state Board of Pharmacy licenses, and other necessary credentialing or accreditation processes.
- Contract Management: Prepare and submit required documentation to support payor contracting and credentialing processes under direction, ensuring compliance with contract requirements, updating contracts as needed, and maintaining an organized electronic file repository.
- Payment Processing: Collaborate with payors to establish appropriate payment mechanisms and assist in negotiation activities.
- Compile documentation and data required for payor audits and appeals as directed and maintain audit analysis spreadsheets and produce reports on payment variances, as well as rejected, denied, and reduced claims. Coordinate appeals for denied claims adhering to payor procedures and time limits.
- Policy Development: Develop policies to guide and support billable services. Assist pharmacies in reviewing, researching, and responding to payor audits and conducting pre-audits when necessary. Evaluate results and provide feedback to pharmacy staff to enhance future audit performance.
Regulatory Filings
- Prepare and file Change-of-PIC submissions, ownership updates, relocations, and address changes.
- Submit required notifications and documentation to state boards of pharmacy.
- Monitor state-specific requirements and ensure filings meet format, fee, and timeline expectations.
Operational Support
- Assist with audits by pulling licensing documents, certificates, logs, and validation data.
- Maintain digital and physical license binders for inspections.
- Communicate proactively with the Director of Operations regarding pending filings, risks, or required escalations.
SOP-Driven Execution
- Follow checklist-driven workflows for all tasks.
- Maintain version-controlled forms and templates.
- Update trackers and systems as renewals and submissions are completed.
Requirements
- Strong attention to detail; effective at tracking deadlines and managing documentation.
- Ability to follow SOPs with high consistency; low-variance execution style.
- Strong organizational and administrative skills.
Education:
- Bachelor’s degree, preferably with a focus in business, healthcare, or accounting.
- A minimum of 5 years of experience in pharmacy contracting and licensing.
Preferred Experience:
- Experience in healthcare start-ups is highly preferred.
- Prior experience in pharmacy licensing, credentialing, or regulatory support preferred.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift up to 15 pounds intermittently.
