Job description

The Dermatology Patch Testing Coordinator is responsible for coordinating all aspects of the practice’s contact dermatitis and patch testing program. This position serves as the primary clinical resource for patch testing patients and providers by ensuring efficient scheduling, patient education, accurate documentation, and the successful execution of patch testing protocols. The coordinator works collaboratively with physicians, advanced practice providers, nurses, and medical assistants to deliver exceptional patient care while maintaining compliance with clinical standards and regulatory requirements., The essential functions include, but are not limited to:

Patient Care & Clinical Coordination

  • Coordinate and manage all scheduling for patch testing appointments, including placement, removal, and interpretation visits.
  • Educate patients on patch testing procedures, expectations, preparation instructions, restrictions, and follow-up care.
  • Prepare examination rooms and ensure all necessary supplies and equipment are available for scheduled patch testing procedures.
  • Fill patch test chambers according to physician orders and manufacturer guidelines.
  • Apply and remove patch tests following established clinical protocols.
  • Document all patch testing procedures, patient responses, photographs, and provider findings accurately within the Electronic Medical Record (EMR).
  • Assist providers during patient evaluations and follow-up visits.
  • Triage patient questions and concerns related to patch testing and coordinate appropriate provider follow-up.
  • Monitor patients for adverse reactions and promptly communicate findings to the provider.

Program Coordination

  • Maintain the patch testing schedule to maximize provider efficiency and patient access.
  • Coordinate referrals for patch testing from internal and external providers.
  • Track patient progress through the patch testing process and ensure timely completion of all appointments.
  • Maintain inventory of patch testing materials, allergens, supplies, and equipment.
  • Order and replenish supplies as needed while minimizing waste.
  • Ensure examination room availability for patch testing clinics.

Training & Quality

  • Train and mentor new medical assistants and clinical staff on patch testing procedures and workflows.
  • Assist in developing standardized workflows and best practices for the patch testing program.
  • Participate in quality improvement initiatives to enhance patient outcomes and operational efficiency.
  • Maintain current knowledge of contact dermatitis testing protocols and dermatologic procedures.

Administrative Responsibilities

  • Complete accurate and timely documentation within the EMR.
  • Assist with prior authorizations, referrals, and coordination of care as needed.
  • Communicate effectively with providers, patients, pharmacies, laboratories, and referring offices.
  • Maintain patient confidentiality in accordance with HIPAA regulations.
  • Perform additional duties as assigned to support clinical operations.

Requirements

  • Advanced proficiency with Electronic Medical Records (EMR) systems.
  • Advanced experience using iPads and other electronic clinical documentation tools.
  • Excellent verbal and written communication skills.
  • Strong understanding of skin anatomy and dermatologic conditions.
  • Knowledge of contact dermatitis and patch testing procedures preferred.
  • Strong critical thinking, analytical, and problem-solving skills.
  • Demonstrated ability to administer topical and local anesthetics within scope of practice.
  • Thorough understanding of HIPAA, OSHA, CLIA, and infection control standards.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to prioritize multiple tasks in a fast-paced clinical environment.
  • Compassionate and empathetic approach to patient care.
  • Ability to work collaboratively with physicians, advanced practice providers, nurses, and medical assistants.
  • Strong computer proficiency and keyboarding skills (minimum 40 words per minute).
  • Ability to work independently with minimal supervision while maintaining a high level of accuracy., * High School Diploma or GED.
  • Minimum one (1) year of experience as a Medical Assistant, Licensed Practical Nurse (LPN), Registered Nurse (RN), or other qualified clinical staff member in a dermatology practice.
  • Demonstrated proficiency in EMR documentation and clinical workflows.
  • Ability to work independently while maintaining excellent clinical judgment and attention to detail.

Preferred

  • Previous experience coordinating dermatology patch testing programs.
  • Experience with allergy or contact dermatitis testing.

  • Ability to lift and carry up to 25 pounds.
  • Visual acuity is sufficient to read medical records, medication labels, computer screens, and perform detailed clinical tasks.
  • Ability to communicate effectively in English, both verbally and in writing.
