Job description

Provides support, mentoring and professional development for West Mont Program Managers and staff under their supervision, including direct supervision and technical assistance. This position will be heavily located in the field at different program areas. In coordination with the Program Director, this position is responsible for program growth and care for the clients in the areas under their supervision. Represents West Mont throughout the Helena community at agency functions, along with routine networking with related agencies, consumers, family members and others. Assures compliance with established standards within each program area., The Program Coordinator is directly responsible to the Program Director and will have a close working relationship with all West Mont staff., Program Oversite, Support, and Quality Assurance (65%)

  • Work independently from other Program Coordinators to provide support to their respective assigned programs.
  • Ensures the physical needs and QA compliance of the assigned program areas are addressed in a timely fashion.
  • Provide supervision and development of all staff for each location under their supervision.
  • Ensure compliance with licensing and all regulatory oversites; this includes Federal, State, and Local statutes and regulations as well as contractual obligations.
  • Ensure timely completion and submission of assigned documentation by the Program Manager.
  • Review and approve purchases within their approval limit for areas of supervision.
  • Average 35% - 50% of available time spent at the program areas.
  • Assist in the hiring of Residential and Vocational staff under their supervision.
  • Assist with the entrance and exit of clients in areas of supervision, this includes the transition of clients from current West Mont residential or vocational sites to alternate location in the West Mont organization.
  • Provide feedback to the Program Director for areas of improvement or modification in assigned program areas.
  • Ensure assigned job tasks in areas of supervision are completed.
  • Monitor schedules and ensure staff coverage in coordination with Program Managers, DSP Managers, and Assistant Program Managers.
  • Ensure compliance with West Mont policies and procedures.
  • In conjunction with Program Managers and support from the Human Resource Department, ensures the disciplinary process is handled professionally and in a timely fashion.
  • Maintains all program policies to make sure we follow health and safety regulations as well as regulatory oversight.
  • Ensure completion and implementation of Personal Support Plan (PSP). Provide support to Program Managers in the development and updating of PSP’s as necessary.

Investigation/Incident Management (15%)

  • Complete investigations of incidents assigned
  • May function as the Incident Management Coordinator.
  • Program Coordinators will follow the West Mont Incident Management Policy.
  • Ensure investigation follow up occurs in the assigned time frames.

Training (10%)

  • Maintain certification as the subject matter expert. The Program Director will deem which Program Coordinator will be the subject matter expert as defined as essential training by West Mont.
  • Conduct training as assigned for West Mont as the subject matter expert.

Budgetary oversite of program areas (5%)

  • Maintain fiscal responsibilities established by the Program Director; this includes but is not limited to staffing levels in collaboration with client cost plans.
  • Fiscal responsibilities and appropriate tier level in a client’s cost plan.

Duties as Assigned (5%)

  • Perform duties and manage special projects and/or assignments designated by the West Mont Program Director., * Support the West Mont Mission, Vision and Core Values.
  • Reviews hiring recommendations for staff, reviews evaluations completed by Program Managers, reviews disciplinary action.
  • In conjunction with the Program Director reviews client-specific incident reports and provides directions for follow up and summarizes data as needed.
  • Reviews and approves purchase requests, maintenance, and repair orders.
  • Coordinates the development of goals for each supervised area, monitors and insures progress toward goals. Changes goals as necessitated by the agency, community, or client needs.
  • Incident management coordination/administrative review and approval of all incidents, IMC meetings, provide follow-up, and make recommendations, including protocol development, conduct critical incident investigations and generate written reports.
  • Assists with the development and implementation of Quality Assurance projects that are determined by the Program Director.
  • Monitors schedules and monthly billing to ensure all areas of service are maintaining the appropriate staff to client ratio.
  • Maintains all program policies to make sure we follow health and safety regulations as well as regulatory oversight.
  • Maintain confidentiality of all West Mont transactions.
  • Maintain confidentiality of all pertinent client care information to assure client rights are protected.
  • Perform other related duties and responsibilities that may become necessary or as directed. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

Requirements

  • Thorough knowledge of the disabilities program in Montana. This includes regulatory oversight and changes in policy due to legislation.
  • Will be required to become and maintain status of subject matter expert and/or become certified (if applicable) at the earliest possible certification date to teach one of following classes: West Mont Annual Orientation, CPR/1st Aid, Mandt Training.
  • Successful completion of Annual Training, CPR & First Aid, CDS, Mandt, and Medication Certification. (Within 6 months from an outside organization)
  • Strong mentoring and coaching experience to a team with diverse levels of expertise.
  • Must be able to operate general office equipment independently.
  • Demonstratable analytical thinking & business insight.
  • Ability to read and correctly apply written instructions. Must be able to communicate clearly and effectively verbally and in writing.
  • Attention to details required for proper processing of job functions. Flexibility required to prioritize multiple tasks and follow through to completion in a busy office environment. Works with repeated interruptions.
  • Must have strong work ethic and be detail oriented, professional attitude, and reliable.
  • Ability to work independently and with a team in a fast paced and high-volume environment with emphasis on accuracy and timeliness.
  • Basic computer skills including the ability to utilize current word processing and spreadsheet software.

  • WORK ENVIRONMENT AND PHYSICAL EFFORT:
  • The noise level in the work environment is usually moderate.
  • Very limited physical effort required.
  • Very limited exposure to physical risk.
  • May be subjected to frequent interruptions.
  • May be subjected to hostile and emotionally upset clients and personnel.
  • Frequently lifts and carries items weighing from 10 - 50 lbs. and at times Clients weighing over 100 lbs., * Associate degree or equivalent experience in Human Services, psychology, behavioral sciences, or other human services coursework. Four years of related experience can substitute for the desired course work.
  • Satisfactory completion of four years’ experience as a Direct Support Professional or equivalent.
  • Three years of Management experience required.
  • Possess a valid driver’s license and be insurable preferred
