Job description

The IT Systems Administrator serves as the foundation of MMG’s internal technology operations. This position ensures every employee has the technology, systems, access, and support necessary to perform their job efficiently and securely.

As MMG continues to grow, this role will establish and maintain our Internal IT Shared Services function by standardizing technology processes, improving cybersecurity, supporting company-wide software systems, and delivering exceptional technical support. The IT Systems Administrator will partner with all departments to create seamless technology experience while protecting company assets and supporting operational excellence., The IT Systems Administrator is responsible for administering, maintaining, and supporting MMG’s internal technology environment. This position serves as the primary technology resource for corporate employees and remote team members by managing Microsoft 365 administration, employee onboarding and offboarding, device deployment, cybersecurity, technology asset management, software administration, and end-user support.

This role also develops technology standards, documentation, and procedures while helping build a scalable Internal IT Shared Services function that supports MMG’s continued growth.

  • Serve as the primary point of contact for all internal technology support requests.
  • Provide Tier I and Tier II technical support for corporate employees and remote users.
  • Troubleshoot hardware, software, printers, monitors, docking stations, mobile devices, Microsoft 365 applications, and network connectivity.
  • Diagnose and resolve issues related to Windows operating systems, email, Microsoft Office, Teams, SharePoint, OneDrive, and other business applications.
  • Utilize and maintain the company’s help desk/ticketing system while ensuring timely resolution of support requests.
  • Escalate advanced technical issues to third-party vendors when appropriate.

Microsoft 365 & Identity Administration

  • Administer Microsoft 365, Exchange Online, Microsoft, Microsoft Teams, SharePoint Online, and OneDrive.
  • Create and manage user accounts, email addresses, shared mailboxes, distribution groups, and security groups.
  • Assign and manage Microsoft licensing.
  • Configure and maintain Multi-Factor Authentication (MFA).
  • Manage password resets, account lockouts, and user permissions.
  • Maintain role-based access to company systems and applications.

Employee Technology Onboarding & Offboarding

  • Coordinate all technology onboarding activities with Human Resources.
  • Configure laptops, desktops, monitors, mobile devices, and peripherals for new hires.
  • Create user accounts and provision access to all required systems.
  • Install and configure required software and business applications.
  • Ensure employees receive appropriate technology training during onboarding.
  • Coordinate employee offboarding by disabling accounts, recovering equipment, revoking system access, archiving email accounts, and documenting completed tasks.

Technology Asset Management

  • Maintain a comprehensive inventory of all company-owned technology assets.
  • Track assignment of laptops, desktops, monitors, mobile devices, printers, accessories, software licenses, and peripherals.
  • Maintain asset records including serial numbers, warranty information, purchase dates, assigned users, and replacement schedules.
  • Coordinate equipment repairs, warranty claims, replacements, and hardware refreshes.
  • Ensure accurate documentation of all technology assets throughout their lifecycle.
  • Conduct periodic technology audits to verify equipment assignments, software licensing, and user access.

Device Management & Cybersecurity

  • Deploy and manage company devices using Microsoft Intune.
  • Monitor endpoint security utilizing Microsoft Defender and other security tools.
  • Apply Windows updates, software patches, and firmware updates.
  • Ensure devices remain compliant with company security standards.
  • Assist with vulnerability remediation and security improvements.
  • Support cybersecurity awareness initiatives and employee education.
  • Participate in incident response and technology recovery efforts when necessary.

Business Systems Administration

Support and assist with administration of company technology platforms including:

  • Microsoft 365
  • Adobe Acrobat
  • Microsoft Teams
  • SharePoint
  • OneDrive
  • RingCentral (if implemented)
  • Any additional business applications utilized by MMG software vendors to troubleshoot issues, implement updates, and optimize system performance.

IT Operations & Process Improvement

  • Develop and maintain IT Standard Operating Procedures (SOPs), documentation, and knowledge base articles.
  • Create standardized onboarding, offboarding, and equipment deployment procedures.
  • Recommend and implement technology improvements that increase operational efficiency.
  • Assist in developing IT policies, technology standards, inventory controls, and security procedures.
  • Support disaster recovery planning and business continuity initiatives.
  • Evaluate new technology solutions and make recommendations for implementation.

Vendor & Project Management

  • Serve as liaison between MMG and third-party technology vendors.
  • Coordinate hardware procurement and software licensing.
  • Assist with company-wide technology implementations and software rollouts.
  • Support office expansions, property technology initiatives, and infrastructure upgrades.
  • Participate in special technology projects as assigned.

Technology Strategy & Continuous Improvement

  • Develop and execute MMG’s annual technology roadmap in partnership with executive leadership.
  • Evaluate emerging technologies and recommend solutions that improve operational efficiency, employee productivity, cybersecurity, and scalability.
  • Develop and maintain company technology standards, governance, and best practices across all departments and managed properties.
  • Plan and coordinate hardware lifecycle management, software upgrades, equipment replacement schedules, and technology budgeting.
  • Identify opportunities to automate manual processes and improve business workflows through technology.
  • Continuously evaluate and improve MMG’s Internal IT Shared Services function to support organizational growth and operational excellence.

Reporting & Compliance

  • Monitor technology inventory and license utilization.
  • Prepare reports related to asset management, support metrics, software licensing, and equipment lifecycle.
  • Ensure compliance with internal security standards and technology policies.
  • Maintain accurate documentation supporting audits and operational reviews.

Requirements

  • Associate’s or bachelor’s degree in Information Technology, Information Systems, Computer Science, or related field preferred.
  • Equivalent professional experience may be substituted for formal education.

Experience:

  • 3-5 years of progressively responsible IT support, systems administration, or desktop administration experience.
  • Experience administering Microsoft 365 environments.
  • Experience supporting Windows 10 and Windows 11.
  • Experience supporting multi-site organizations preferred.
  • Experience in property management, real estate, or multi-location organizations is a plus.

Physical Requirements:

  • Prolonged periods of sitting while working at a computer.
  • Ability to lift and transport technology equipment weighing up to 50 pounds.
  • Ability to install, move, and configure computer equipment and peripherals.
  • Occasional travel to corporate offices and managed properties as needed.

  • Standard schedule is Monday through Friday, 8:30 AM to 5:00 PM, with flexibility based on operational needs.
  • Remote work flexibility available based on departmental needs.
  • Occasional evening or weekend work may be required for system maintenance, technology implementations, or critical support issues.
