Job description
This is a cross-functional role combining business analysis, process design, system administration, and technical implementation. You’ll work closely with Product, Operations, Engineering, and external vendors to build scalable workflows, reduce manual work, optimize software costs, and ensure our systems run reliably., * Own and continuously improve our CRM ecosystem, primarily HubSpot and Planhat.
- Design, build, and maintain automations using Make or similar workflow automation platforms.
- Connect and manage integrations across CRM, telephony, and other business-critical systems.
- Administer and optimise the software stack used by Product and Operations teams.
- Identify opportunities to streamline workflows, eliminate manual tasks, and improve operational efficiency.
- Research, evaluate, and implement new software solutions that align with business needs and scale with growth.
- Monitor system performance, enhance reliability, and drive software cost optimisation.
- Partner with Engineering to define technical requirements, prioritise improvements, and deliver new capabilities.
- Manage relationships with software vendors, including procurement, negotiations, and ongoing collaboration.
- Produce clear documentation, process maps, and internal knowledge resources.
- Present system enhancements, automation initiatives, and process improvements to cross-functional stakeholders.

Requirements
- 3+ years working with CRM platforms such as HubSpot, Salesforce, Zoho, or Pipedrive.
- Proven track record of owning business processes from discovery and requirements gathering through implementation, optimisation, and ongoing support.
- Proficiency in building automations and workflows using Make, Zapier, n8n, Workato, or similar tools.
- Solid understanding of software integrations, APIs, and translating business needs into technical requirements alongside engineering teams.
- Familiarity with administering telephony and other business systems.
- Ability to partner effectively with Customer Success, Support, Sales, and Operations teams to improve processes and tooling.
- Track record of evaluating software vendors, negotiating contracts, and managing vendor relationships.
- Knowledge of software budget management and cost optimisation.
- Strong documentation, communication, and presentation abilities.
- Comfortable leveraging AI tools such as ChatGPT, Claude, and Cursor to increase productivity and streamline workflows.
- Excellent written and spoken English.
Nice to Have
- Familiarity with Planhat.
- Background in leading CRM or business systems migrations.
- Exposure to SaaS or EdTech environments.
