Prominent central Kentucky Thoroughbred farm is seeking a knowledgeable and hands- on Broodmare Manager to take responsibility for the management, health, and welfare of our broodmare band while ensuring first-class standards of care., * Manage the daily care and supervision of all broodmares, in-foal mares, and foals.

Oversee the foaling season, including supervision of night watch and post-foaling care.

Ensure all mares and foals receive the highest level of husbandry, nutrition, and health care.

Liaise closely with veterinary teams to monitor pregnancies and manage reproductive issues.
- Train and support staff involved with mare and foal care.

Maintain a strong culture of professionalism, welfare, and safety across all operations.
- Uphold and foster all health and biosecurity protocols.
- Coordinate farrier, veterinary, and nutritional programs., * Generate monthly billing for farm boarders
- Communicate with clients
- Enter horse related information and procedures into Horse Farm Management software
- Maintain registrations and nominations
- Organize required documents for arrivals and departures, This person will be responsible for general stud duties including grooming, feeding, care of mares and foals, yearling prep, general farm care duties, and grounds maintenance., The Office Administrator / Bookkeeper is responsible for the day-to-day administrative, bookkeeping, and operational functions that keep our business running smoothly. This role supports company leadership by managing financial records, coordinating office operations, and ensuring organizational efficiency across multiple departments.
The ideal candidate is highly organized, detail-oriented, dependable, and enjoys wearing many hats in a collaborative small-business environment.
Administrative & Operations
- Manage and maintain the company Master Development Calendar.
- Coordinate company projects and task lists in collaboration with leadership.
- Schedule and facilitate office meetings, documenting action items, project updates, and follow-up tasks.
- Provide administrative support to the Director and leadership team on day-to-day operations and special projects.
- Maintain office supplies, kitchen inventory, and overall office organization.
- Receive, distribute, and coordinate incoming and outgoing mail, courier deliveries, and shipments.
- Maintain company mailing lists, contact databases, and electronic filing systems within Google Workspace.
- Coordinate domestic and international travel arrangements for trade shows, conferences, and company events.
- Administer company accounts, subscriptions, and software licenses, including Verizon, Apple, Adobe, Shopify, and Google Workspace.
- Oversee office technology assets, including computers, mobile devices, key fobs, and security systems.
- Coordinate with HR and assist with employee onboarding
- Support company initiatives and perform additional administrative duties as needed.
Bookkeeping
- Manage Accounts Payable using QuickBooks Online.
- Process credit card transactions, bank deposits, monthly bank reconciliations, and international wire transfers.
- Prepare and reconcile monthly corporate credit card expense reports.
- Resolve accounts receivable discrepancies with customers and procurement departments.
- Set up and maintain vendor records within QuickBooks Online.
- Coordinate new product item setup across company software systems.
- Prepare weekly and monthly financial and operational reports using Excel, QuickBooks, and proprietary software.
- Generate monthly reporting for collaborations, licensing agreements, royalties, and business partnerships.
- Prepare year-end accounting reports and assist the CFO and external accounting firm during the annual financial close and tax preparation process., The Customer Service, Merchandising & Product Development Assistant is a key member of our team, supporting the development and merchandising of our textile products while delivering exceptional service to our consumers. - Process replacement requests, product claims, and customer follow-up communications.
- Document customer interactions and maintain accurate service records.
- Communicate recurring product feedback and consumer insights to the marketing, operations, merchandising and product development team to support continuous product improvement.
- Work closely with warehouse and operations teams to coordinate shipments and resolve order-related issues.
- Help maintain a positive brand image by providing friendly, knowledgeable, and solution-oriented customer service.
Merchandising & Product Development
- Support the product development process from concept through production for textile collections.
- Coordinate product samples, approvals, and development timelines.
- Prepare and maintain product specification sheets, line sheets, pricing, and product documentation.
- Communicate with domestic and international vendors regarding samples, artwork and product specifications.
- Organize and maintain the sample library and product archives.
- Assist with seasonal product launches, merchandising presentations, and customer meetings.
- Conduct market and competitive research to identify product and design trends.
- Maintain accurate product information and assist with data entry into company systems.
- Collaborate with sales, operations, and marketing teams to ensure timely execution of product initiatives.

Requirements

Experience in Thoroughbred broodmare and foaling management at a professional level.
- Comprehensive understanding of equine reproduction and neonatal care.
- Ability to work closely with farrier on young horse conformation development.
- Proven ability to handle mares and foals calmly and safely.

Experience administering IM & IV injections, basic wound care, and proper bandaging.

Excellent organizational and record-keeping skills. Horse Farm Management software knowledge would be helpful.
- Strong leadership skills with the ability to teach, manage, and motivate a team.
- Flexibility to work unsociable hours during foaling and breeding seasons.
- Clean driving record and current license., * Horse Farm Management software required
- Industry and office experience preferred, * Previous experience working on a thoroughbred horse farm
- Be able to work as part of a close team
- Strong attention to detail
- Valid Drivers’ license, * Degree in Accounting, Business Administration, Finance, or a related field preferred. Equivalent professional experience will be considered.
- 3+ years of experience in office administration, bookkeeping, accounting, or business operations.
- Experience using QuickBooks.
- Proficiency with Microsoft Office.

The successful candidate should be skilled in shoeing racehorses, as well as the corrective trimming and shoeing of foals and youngstock., Well developed writing and organizational skills and attention to detail.
