Job description

Canopy is seeking a Salesforce and Systems Administrator to help our growing nonprofit team maintain and optimize our Salesforce database and adjacent systems.

Under the guidance of the Director of Impact, this newly created position will serve as a central internal resource for Salesforce, supporting staff with reliable tools, accurate data, and the training needed to use the system effectively. In addition to day-to-day Salesforce administration and maintenance, this position supports related data platforms and system integrations, develops documentation and training materials, and contributes to longer-term technology planning and implementation.

This is envisioned as a role for someone early in their Salesforce Administrator journey who is eager to gain hands-on experience with foundational tools and platforms in an environment with ample opportunities for support, mentorship, and professional growth. Success in this role will come from ongoing curiosity, growing expertise with Salesforce, and a collaborative approach to supporting staff adoption and continuously improving our systems.

While this is designed as an entry-level growth role, we welcome applications from more experienced administrators and are open to adjusting the compensation and scope for an experienced professional ready to champion our mission.

Duties and Responsibilities

For duties below, funds are available for coaching and support from outside consultants who can advise or assist with more technically complex projects while helping you build your skills.

Salesforce Administration & Optimization (30%)

  • Manage daily administration of Canopy’s Salesforce NPSP (Nonprofit Success Pack) instance using nonprofit best practices. Manage users, permissions, profiles, and security.
  • Maintain and improve data integrity through regular data cleanups, deduplication, validation rules, and page layout optimizations. Monitor system health.
  • Partner with the Director of Impact and program team leads to map out and implement custom objects, fields, flows, and automation to support Canopy’s evolving workflows.
  • Build and maintain custom reports and dashboards that empower staff and leadership with real-time analytics for grant reporting, fundraising, and programmatic impact.

Integrations & Related Systems (25%)

  • Manage and configure existing integrations, including Mogli, Form Assembly, S-Docs, FundraiseUp, Double the Donation, and Salesforce Cloud Everywhere (chrome extension), with support from outside consultants as needed.
  • Partner with the Director of Impact to research, scope, and implement new or alternative integrations as needed.
  • Assist with imports/exports and cross-system reporting.
  • Provide occasional support for data tracking systems outside of Salesforce (e.g. Canopy’s Tree Plotter database and Google Sheets-based program trackers). Help work towards Canopy’s long-term goal of centralizing data and reporting within Salesforce.

Staff Training & Support (25%)

  • Serve as the primary point of contact for staff Salesforce questions and troubleshooting. Support staff in resolving Salesforce issues or accomplishing Salesforce-based tasks.
  • Design and deliver onboarding training for new hires.
  • Provide ongoing training for existing staff to build data literacy and support database adoption across the team.
  • Promote best practices and consistent data entry.

Data Governance & Reporting (15%)

  • Help develop and maintain clear, user-friendly documentation of Canopy’s data policies, custom configurations, and standard operating procedures.
  • Help formalize and manage data review protocols to ensure data completeness across programs, fundraising, and communications.
  • Assist leadership with reporting for grants, contracts, and communications.

General operations and organizational support (5%)

  • Participate in staff meetings, organizational planning and team-building, and occasional community engagement and programmatic events (these are fun!).
  • Lend operational or administrative support to the broader team during peak organizational moments, in keeping with Canopy’s collaborative non-profit culture.

Requirements

Technical skills and experience

  • Salesforce Administrator certification preferred (or equivalent hands-on experience and ability to obtain certification within 6-12 months; Canopy can offer funds for this)
  • Experience working with the Salesforce Nonprofit Success Pack (NPSP) and understanding of non-profit data structures (Households, Opportunities, etc.)
  • Experience working with third-party Salesforce integrations and using data import tools
  • Expertise with spreadsheets (Excel or Google Sheets) and familiarity with data manipulation techniques

Core competencies and soft skills

  • Strong communication skills, with the ability to translate technical concepts into accessible, supportive language for nontechnical audiences.
  • Excellent critical thinking and problem-solving skills
  • Customer-service mindset and desire to help others succeed
  • Curious and collaborative, open to others’ ideas, perspectives, and experiences
  • Organized and detail-oriented with ability to manage competing priorities
  • Creativity, initiative, and excitement about the possibilities of Salesforce
  • A genuine commitment to Canopy’s mission of community forestry, environmental justice, and growing equitable green spaces.

Bonus qualifications

  • Experience with GIS mapping, tree inventory software, or other spatial data systems
  • Experience supporting CRM transition projects or significant system overhauls
  • Experience documenting business processes
  • Experience with volunteer management and/or fundraising systems
  • Background with SQL or other database query languages
