Job description

The Business Systems & Data Coordinator provides part-time, entry-level support to the Business Systems & Data function by entering, reviewing, maintaining, and reconciling information in the company’s ERP system and related tools. The role supports accurate master data, routine reporting, system documentation, and data-quality initiatives. Success requires careful attention to detail, sound judgment, confidentiality, and a willingness to stop and ask questions when information is incomplete or inconsistent., Essential functions include, but are not limited to, the following:

  • Enter, update, and maintain assigned data in the ERP system and related business tools in accordance with established procedures.
  • Review records for completeness, accuracy, duplication, inconsistent formatting, and other potential data-integrity concerns.
  • Use Excel, including VLOOKUP or XLOOKUP across multiple worksheets, to compare, validate, reconcile, and organize information.
  • Assist with maintaining item, routing, work-center, and other system or master-data records under the direction of the Business Systems & Data Manager.
  • Prepare routine data extracts, reports, reconciliations, and tracking files for review.
  • Research discrepancies by comparing source documents, system records, and departmental information; escalate unresolved issues rather than making unsupported assumptions.
  • Support testing of system updates, process changes, reports, and data corrections; document test results and identified issues.
  • Create and maintain clear work instructions, process notes, data definitions, and user guides.
  • Follow up with process owners when required information is missing, unclear, or inconsistent.
  • Protect confidential and sensitive information, including compensation-derived rates, costs, margins, employee information, and other restricted business data., * Provide general administrative and project support to the Business Systems & Data Manager.
  • Cross-train on additional system and reporting responsibilities as knowledge and demonstrated accuracy increase.
  • Participate in process-improvement, data-cleanup, and documentation initiatives.
  • Perform other related duties as assigned

Requirements

High school diploma or equivalent required. Associate degree, relevant coursework, or technical training in business, accounting, information systems, data analytics, supply chain, or a related field is preferred.

Work Experience

Prior experience with accurate data entry, administrative support, reporting, inventory, manufacturing, accounting, or business systems is preferred. Previous use of an MRP or ERP system is strongly preferred; Microsoft Dynamics 365 Business Central or NetSuite experience is a plus. Extensive experience is not required for a candidate who demonstrates strong accuracy, confidentiality, curiosity, and learning ability., * Language Skills: Ability to read and follow written procedures, communicate clearly, document work, and ask focused questions when information is unclear.

  • Mathematical Skills: Ability to perform basic arithmetic and work with percentages, averages, rates, and simple reconciliations with a high degree of accuracy.
  • Reasoning Ability: Ability to compare information from multiple sources, recognize anomalies or missing data, troubleshoot routine issues, and determine when escalation is appropriate.
  • Additional Skills:
  • Proficiency in Microsoft Excel, including VLOOKUP or XLOOKUP across multiple worksheets.
  • Working proficiency in Microsoft Word, Outlook, and Teams.
  • Fast and accurate keyboarding and data-entry skills.
  • Understanding of data integrity and the downstream impact of incomplete or inaccurate information.
  • Strong attention to detail, organization, follow-through, and ability to manage repetitive work without sacrificing accuracy.
  • Sound judgment and demonstrated discretion when handling confidential or sensitive information.
  • Ability to learn unfamiliar systems, processes, and terminology.
  • Dependability and willingness to ask questions rather than guess.
