Job description

To administer academic advising and exam administration services offered through Student Testing Service. This works supports the mission of the Testing & Evaluation Services organization at the University of Texas at Austin., Function 1:

  • Advise and counsel students regarding policies and procedures related to credit by exams (CBEs) processed through Student Testing Services.
  • Lead the communication and dissemination of credit by exam information, including answering questions via email, US and Campus mail, phone call, and walk-in visits.
  • Connect students with on and off-campus resources, including updating and managing content on section website.
  • Consult with IT staff to resolve student billing and petition issues in CBEVO, which is the CBE petition system.

Function 2:

  • Manage and supervise computer-based test administrations, including registering clients for national and local computer-based tests, proctoring examinees during test administration and resolving hardware, software, and client issues during test administration.
  • Identify process improvements for efficient exam administrations. Supervise work of on-site exam proctors.
  • Maintain documentation of exam administration policies and procedures.

Function 3:

  • Lead the conversion of paper-based tests into computer-based software, which is the product used to administer the university’s computer-based CBEs.
  • Supervise the administration of exams using computer-based software.
  • Collaborate with academic departmental CBE contacts to maintain accurate exam content.
  • Serve as content expert on software usage and update local software user manual.

Function 4:

  • Facilitate, organize, and supervise the administration of national, state, and institutional paper-based testing programs.
  • Consult with vendors to order test booklets and maintain inventory of test booklets, equipment, and supplies for test administrations.
  • Maintain and update appropriate documentation of exam ordering processes.

Other duties as assigned., The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length., Employees may be required to report violations of law under Title IX and the Jeanne Clery Disclosure of Campus Security Policy and Crime Statistics Act (Clery Act). If this position is identified a Campus Security Authority (Clery Act), you will be notified and provided resources for reporting. Responsible employees under Title IX are defined and outlined in HOP-3031.

Requirements

  • Bachelor’s degree and a minimum of 2 years’ experience in working with students in a higher education program.
  • Microsoft Office competencies.
  • Excellent oral and written communication skills. Excellent interpersonal and problem-solving skills.
  • Detailed orientated. Strong organizational and administrative skills.
  • Ability to work variable hours, including some evenings and weekends to accommodate testing center needs.
  • Professional demeanor working with colleagues and clients.
  • Ability to work cooperatively in a team environment and independently, exercising good judgment as required.
  • Ability to work effectively with multiple constituencies, including a diverse student population.

Relevant education and experience may be substituted as appropriate., * Master’s degree and at least 3 years professional experience in advising students or in a testing services role.

  • Demonstrated ability to communicate effectively and utilize very strong organizational skills.
  • Experience using computer-based testing software to create and administer tests.
  • Experience writing or managing web content.
  • Ability to recommend and organize new programs and advise supervisor on progress of current programs.
  • Experience making presentations to student, parents, academic advisors, or similar audiences.
  • Demonstrated ability to perform multiple tasks efficiently and effectively.
