Job description
We are seeking a Fleet Analyst to join our team and support fleet operations across our nationwide network. In this role you will be responsible for analyzing fleet data, maintaining accurate vehicle and equipment records, supporting DOT compliance, and identifying opportunities to improve fleet performance and reduce operating costs. This position requires advanced Excel skills, previous fleet experience, strong attention to detail, and the ability to turn complex data into clear, actionable reports. You will be able to work from your home office and travel as needed upon business needs (+/- 10% annually)., * Analyze fleet data related to maintenance, fuel, utilization, telematics, rentals, accidents, vehicle assignments, and operating costs
- Create and maintain Excel reports, dashboards, pivot tables, charts, and financial models to track fleet KPIs and identify trends, discrepancies, risks, and cost-saving opportunities
- Maintain accurate records for vehicles, trailers, and equipment, including assignments, registrations, titles, inspections, and disposal status
- Review fleet invoices and vendor data, reconcile expenses, and resolve billing discrepancies
- Support DOT and FMCSA compliance, including driver qualification files, MVRs, medical cards, vehicle inspections, registrations, and required documentation
- Monitor preventive maintenance schedules, repair history, out-of-service vehicles, and vehicle downtime
- Assist with fleet budgeting, forecasting, purchase orders, capital expenditures, and monthly expense reconciliation
- Track vehicle purchases, leases, rentals, deliveries, transfers, and disposals
- Travel +/- 10% annually as needed for possible site visits
- Support telematics, fuel-card, maintenance, and fleet management systems, ensuring data accuracy and integrity
- Conduct audits to identify missing, duplicate, or inaccurate fleet information and help improve reporting standards and procedures
- Collaborate with Operations, Safety, Finance, HR, Procurement, and fleet vendors to resolve issues and improve fleet operations
- Prepare reports and presentations for leadership
- Perform other duties as assigned
Requirements
- Bachelor’s degree in business, finance, supply chain, transportation, data analytics, or a related field preferred
- 3+ years of experience in fleet, transportation, equipment, automotive, or a related industry
- Experience supporting multi-state fleets, including DOT-regulated and non-regulated vehicles
- Experience with fleet management, telematics, maintenance, fuel-card, or related systems
- Advanced Microsoft Excel skills, including pivot tables, XLOOKUP/VLOOKUP, conditional formatting, charts, data validation, and complex formulas
- Experience with Power BI, Tableau, Power Query, or similar reporting and data analysis tools
- Knowledge of vehicle lifecycle management, total cost of ownership, leasing, rentals, and vehicle disposal
- Working knowledge of DOT and FMCSA compliance requirements
- Able to travel +/- 10% annually as needed for possible site visits
- Strong analytical, organizational, and problem-solving skills with the ability to analyze large amounts of data and present findings clearly
- Strong attention to detail and commitment to data accuracy
- Experience working with vendors and cross-functional teams
- Strong written and verbal communication skills
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Ability to identify opportunities for process improvement and implement effective solutions
- Must provide a valid government-issued photo ID for verification; a driver’s license is required if the role involves driving
- Passing of all pre-employment requirements (MVR, Background Check, Drug Screen)
