Job description
Our Document Control Team is an integral part of Arup’s commitment to innovation. We develop efficient and often automated solutions that minimise errors while ensuring the highest quality across all projects. You will assist in preparing technical documents and reports for submission, as well as in organizing and reviewing project-related documents.
As a Document Controller at Arup, you will: a { text-decoration: none; color: #464feb; } tr th, tr td { border: 1px solid #e6e6e6; } tr th { background-color: #f5f5f5; } Manage document exchange with clients, service providers, and project teams, including preparation, submission, distribution, tracking, and follow-up of project documentation Maintain project document control systems, ensuring client-specific platforms, filing structures, naming conventions, and document registers are implemented and kept up to date Coordinate document deadlines and workflows across internal and external interfaces, supporting timely reviews, approvals, submissions, and clear written communication between stakeholders Support QA/QC processes by checking that drawings, reports, calculations, and other technical documents are issued in line with agreed formatting, editorial, and quality standards Provide reporting and coordination support to project stakeholders, including preparing status updates, managing distribution lists, assigning document-related tasks, and collaborating with internal and external document managers
Requirements
We are looking for someone who has an eye for detail. We also value:
a { text-decoration: none; color: #464feb; } tr th, tr td { border: 1px solid #e6e6e6; } tr th { background-color: #f5f5f5; } Completed traineeship in a technical, administrative, business, or other related field / equivalent practical experience Professional experience in project environments, ideally with exposure to document control, project documentation, or technical administration Structured and detail-oriented working style, with strong skills in MS Excel (including formulas), Word, and similar digital tools Experience with Common Data Environment (CDE) platforms such as Asite, Autodesk Construction Cloud (ACC), Procore, or Aconex is an advantage Good communication skills and strong written and spoken English; good German is required for Germany-based applicants and advantageous for those based in Poland, given regular collaboration with German-speaking teams and clients
