Job description

The Customer Returns Desk Administrator is the principal contact for all administration of customer and company-owned parts coming in for repair or upgrade. This role manages the return, beginning with the physical induction and administrative setup, continuing through job creation. The Returns Desk Administrator performs a variety of simple to complex tasks, requiring strong attention to detail and good judgment to resolve problems and ensure accurate written agreements between the company and the customer., Induction & Receiving Administration

  • Physical Intake: Responsible for the unboxing and “de-trashing” of incoming parts, ensuring items are handled safely and efficient disposal of shipping materials.
  • Documentation Management: Scans all documentation received with parts and validates that the physical hardware aligns perfectly with the provided paperwork.
  • RMA Creation: Checks for existing Return Material Authorizations (RMAs) and creates new ones in the system if they do not exist upon arrival.
  • Production Readiness: Generates required labels, job orders, and comprehensive job packets to move parts and documentation from the receiving area to the repair station.
  • Traceability: Ensures all parts are dated and tracked immediately upon receipt to maintain strict turnaround time (TAT) requirements.

Order Management & Compliance

  • Reviews all incoming documentation for accuracy and export compliance requirements.
  • Reviews customer purchase/repair orders to ensure regulatory requirements are met and customer requests can be fulfilled.
  • Ensures accurate order entry and retains records in compliance with standard processes.

Requirements

Do you have experience in Writing skills?, Do you have a High school diploma or GED?, * Education: a high school diploma or equivalent.

  • Experience: Minimum of one year of accomplishments demonstrated in Customer Service or a related administrative role.
  • Compliance: Previous experience with FAA Part 145 repair administration is preferred.

Preferred Specialized Skills and Abilities

  • Precision: Exceptional attention to detail, specifically regarding the verification of physical parts against technical documentation.
  • Technical Literacy: Strong data entry skills and proficiency with databases and digital platforms.
  • Communication: Ability to compose professional customer correspondence and maintain composure under pressure.
  • Functional Skills: Strong reading, writing, and math skills
  • Problem-Solving & Analysis: A strong aptitude for diagnosing complex issues by leveraging internal resources and efficiently utilizing digital tools.
  • Data Integrity: Proven experience in data entry, ideally within a manufacturing environment, with a sharp eye for detail.
  • Professionalism: A personable and attentive demeanor with a commitment to providing high-quality internal or external support.

Physical Requirements & Environment

  • Physical Demands: Frequently moves inside the office and production areas; uses hands and arms to handle materials, unbox parts, and operate office machinery.
  • Vision: Frequent close vision and the ability to adjust focus for document review and part verification.
  • Environment: Operates in a professional manufacturing/office environment.
  • Availability: Occasional work outside normal hours, including weekends, may be required to meet customer Turnaround Time (TAT) commitments., Eligible candidates must be authorized to work in the U.S.

This position requires access to export control information. To conform to US Export Control regulations, applicant should be eligible for any required authorizations from the US Government.
