Job description
The Sponsorship Development position provides administrative and operational support to the Sponsorship Department through sponsor communications, benefit fulfillment, contract administration, event preparation, and recordkeeping. This position helps ensure sponsors receive exceptional customer service and that all contractual obligations are fulfilled accurately and on schedule., * Assist with the preparation, distribution, tracking, and filing of sponsorship agreements, renewal packets, proposals, and related documentation
- Maintain accurate sponsorship databases, spreadsheets, digital filing systems, and sponsor records
- Coordinate and track sponsorship benefit fulfillment, including signage, credentials, tickets, parking passes, hospitality, promotional materials, exhibitor booths, logo recognition, and other contractual benefits
- Communicate with sponsors regarding deadlines, artwork submissions, logos, invoices, event logistics, and sponsorship updates
- Assist with sponsor invoicing, payment tracking, and sponsorship reporting in coordination with the Finance Department
- Work closely with Marketing, Operations, Finance, and other departments to ensure sponsor benefits are delivered as contracted
- Prepare Sponsor packets, welcome materials, credentials, comp admission tickets, and parking passes
- Assist with sponsor hospitality areas, luncheons, recognition events, and other special events
- Monitor sponsorship timelines, checklists, and project deadlines to ensure timely completion of deliverables
- Perform general administrative duties, including answering phones, responding to emails, scheduling meetings, data entry, copying, and filing
- Assist the Sponsorship Manager with prospect research, lead tracking, sponsorship proposals, and sales activities to support sponsorship revenue goals
- Maintain the confidentiality of sensitive organizational, sponsor, financial, and personnel information in accordance with organizational policies and as directed by executive leadership
- Perform other duties as assigned by the Sponsorship Manager
Requirements
- High school diploma or GED required; associate or bachelor’s degree in business, marketing, communications, event management, or a related field preferred
- One to three years of experience in administrative support, customer service, marketing, event planning, sales, sponsorships, or a related field preferred
- Experience working with nonprofit organizations, fairs, festivals, community events, or similar organizations is preferred
- Excellent written and verbal communication, customer service, and interpersonal skills
- Strong organizational, time management, multitasking, and problem-solving abilities with exceptional attention to detail
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
- Ability to prioritize multiple projects, meet deadlines, maintain confidentiality, and work both independently and collaboratively in a fast-paced environment
Job Type: Full-time
Pay: $45,000.00 - $55,000.00 per hour
