Job description
Houston-based accident reconstruction and forensic engineering firm is seeking a highly organized File & Evidence Administrator to maintain case files, physical evidence, subject and exemplar vehicles, and administrative materials. This role is essential to keeping case materials accurate, accessible, complete, and properly stored throughout the life of each project., · Organize and maintain primarily digital case materials, correspondence, photographs, videos, technical documents, vehicle specifications, standards, and related records, while scanning and managing hard-copy materials as required.
· Maintain accurate document, photo, video, evidence, and vehicle inventory logs for each project file.
· Prepare digital and hard-copy case files and materials for depositions, trial, and other project-related needs.
· Review physical files for completeness, track file locations, manage file checkout activity, and return hard-copy materials to storage or the file room.
· Receive, process, tag, log, and securely store physical evidence, including subject and exemplar vehicles as applicable.
· Support closed file review, purge, retrieval, and offsite storage processes for hard-copy materials.
· Assist project coordinators and technical staff with requests for case materials, photographs, videos, and related documentation when needed.
· Maintain supplies and equipment-related inventory used for file and evidence administration, including folders, labels, envelopes, batteries, and related materials.
· Provide general administrative support as needed, including copying, database entry, correspondence, report typing, publication maintenance, and occasional phone or front desk backup.
· Perform other duties as assigned.
Requirements
· At least three years of experience in a responsible administrative, records, file management role preferred.
· Excellent organizational skills and strong attention to detail.
· Strong computer proficiency, including Microsoft Word, Outlook, and database entry. Experience with Microsoft Access is a plus.
· Ability to handle confidential case materials and physical evidence with care, accuracy, and professionalism.
· Dependable, team-oriented, and able to manage multiple priorities in a technical office environment.
