Job description

The Security Administrator will support all assigned personnel security activities. The Security Administrator maintains a close and highly responsive relationship to the day to day personnel security activities, works fairly independently receiving a minimum of detailed supervision and guidance, and performs various clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the organization and contract. Utilizes good judgment and initiative to determine the approach or action to take in non-routine situations.

The incumbent performs administrative work organizing, scheduling, coordinating, monitoring and implementing security activities. The Security Administrator also prepares, submits and coordinates processing of the visitor control documents and maintains VR documents, logs and Access Facilities Lists within timeframe designated by the company and customer. The incumbent is a highly motivated administrative professional who demonstrates strong attention to detail, has a sense of urgency, maintains confidential/sensitive information and produces work output with a high accuracy rate.

Pat Rate: $41.52 / hour, * Works independently and collaboratively with the security team and customer security representatives to efficiently and effectively execute security activities.

  • Works harmoniously with the security team on developing a sound security program; which may include developing spreadsheets, reports, presentations and correspondence related to security.
  • Prepares and facilities execution of DD Form 254 as needed.
  • Updates and maintains e-CPRL.
  • Submits Clearance Packages.
  • Conducts semi-annual e-CPRL audit and resolves any discrepancies
  • Performs audits on Security folders, documents and processes.
  • Facilitates the requests and submits the Common Access Card requests for Government approval
  • Maintains records/database for Common Access Cards (CAC) and SIDs.
  • Maintains customer computer accounts as required.
  • Reconciles customer computer accounts annually with Senior Leadership to provide insight on if the accounts are needed.
  • Tracks all escort briefings and generates escort letters upon completion; distributes a monthly list of employees that are due for their briefings.
  • Maintains, tracks and reviews all government required security trainings.
  • Educates and coordinates foreign travel. Processes foreign travel briefings/debriefings and tracking of dates/destinations.
  • Process and protect personally identifiable information (PII) and other sensitive, personal information with regards to reporting responsibilities in a professional manner.
  • Keeps the security team apprised of any security deficiencies or potential problem areas.
  • Proactively communicates with all personnel to ensure that security activities are executed timely, accurately and completely in the best interest of the company and customer.
  • Process subsidiary and contractor security requests as needed.
  • Serves as the point of contact for all VR related issues for external and internal CCS customers. Receive phone calls, visitors and appropriately route inquiries to appropriate staff. Responsible for resolving customer service issues that may arise.
  • Coordinates and conducts Security training.
  • Create and maintain AFL database; review with POC’s to avoid disruption in service.
  • Distributes all Subcontractor AFLs monthly.
  • Submits and tracks all electronic device requests .
  • Compose professional correspondence about security matters for and with approval.
  • Anticipate and prepare materials for security related activities.
  • Read publications, regulations, and directives and act or refer those that are relevant to security.
  • Prepare reports, summaries and replies to inquiries.
  • Advise administrative and management personnel on new procedures; request information needed from the other offices and adjust priorities to accommodate workload needs.
  • Acts as subject matter expert and ensures contractual compliance regarding VR/FAR process including providing requestor notification of approvals or denials.
  • Reports all Security violations or concerns to the AFSO.
  • Provides assistance to other departments as needed.
  • Operate Government or company-owned motor vehicles and/or other equipment.
  • Adheres to established company safety and personnel policies and standard operating procedures.
  • Travels to contract locations as needed to perform security functions.
  • Acts on behalf of other Security team members during their absence.
  • Develops a variety of reports and helps maintain contract performance metrics/key performance indicators. Submits weekly activity report to AFSO/Project Manager as directed.
  • Performing other duties as assigned.

Requirements

  • A minimum of 5 years of secretarial/administrative experience.
  • A minimum of 2 years of personnel security related experience, i.e. Visitor requests, security briefings, training requirements,
  • Possess, or complete within 1 year of hire, the Defense Security Service (DSS) Certifications.
  • Attend and complete the Government’s CSSO training as scheduled by the company.
  • Must have a high level of confidentiality with regard to all transactions, functions and activities
  • Experienced problem solver who thinks logically and seeks assistance as needed.
  • Customer Service oriented and responsive to internal and external customer needs and requests.
  • Must possess excellent interpersonal, written, verbal, and presentation skills.
  • Professional appearance and demeanor.
  • Proficiency using Microsoft Office Programs including Word, Excel, and Outlook.
  • Ability to pass pre-hire background and drug screen.
  • Must be a U.S. Citizen.
  • Possess an active intelligence community level clearance.
  • Valid state driver’s license with acceptable driving record.
