Job description

This position is responsible for the overall process of engaging with parishioners post gift and managing gifts. As a Catholic Parish we are seeking a dynamic and dedicated Stewardship and Database and Donor Manager to lead our parish’s efforts in cultivating meaningful relationships with parishioners, managing our donor database systems, and enhancing our overall stewardship initiatives.

Throughout all phases of various campaigns and donor relationships, this position ensures that every donor encounter, gift record, and campaign communication reflects the excellence worthy of the mission it supports. Provides Team support in developing strategies for effectively managing fundraising campaigns, such as capital, annual fund, staff giving, and/or specific unit fundraising campaigns.

Duties

  • Identify and recommend fund-raising software. (Salesforce, Blackbaud Raisor’s Edge, ParishSoft, etc.)
  • Draft gift acknowledgement policies. Policies are necessary to establish standards/framework for acknowledging gifts and its commitment to thanking donors properly.
  • Add new donors to donor database and/or update current donor profiles based upon most recent gifts size and timing. Keep accurate records and provide timely updates.
  • Process donor gifts quickly and accurately.
  • Send donation tax receipts ASAP (No later than 72 hours is best practice) so that donors know when their gift has been received.
  • Coordinate event planning efforts for donor appreciation events, volunteer activities, and fundraising campaigns that foster community involvement and strengthen relationships.
  • Support the Business office and execution of the parish-based participation phase, including parish events, kick-off events, volunteer trainings, and celebration events.
  • Coordinate volunteer appreciation awards and dinner.
  • Manage production and distribution of campaign materials with consultants: brochures, pledge forms, parish packets, bulletins information, and digital assets.
  • Coordinate and support communications logistics with consultants: mailing lists, email campaigns, parish bulletin copy, and social media content (as directed).
  • Update campaign progress reports including participation rates, pledge totals, cash received, and parish-level performance.
  • Serve as a public speaker at events or meetings to represent the organization’s mission passionately while cultivating new relationships with potential donors or partners.
  • Lead volunteer management efforts by recruiting, training, and coordinating volunteers to support stewardship activities and organizational goals.Requirements, * Is responsible for approving/coordinating/denying all parish fundraising requests annually.
  • Monitor all donor information and provide statistical analysis for Business Office.
  • Develop reports and documents for leadership and decision-making purposes.
  • Manage campaign correspondence in collaboration with the Business Office and consultants; thank you letters, donor stewardship communications, pledge follow-ups, and pastoral outreach.
  • Assure that databases are properly managed and current. Maintain comprehensive campaign files, reports, and archives (digital and physical).
  • Ensure all activities align with Catholic ethical standards, archdiocesan policies, and IRS regulations governing charitable contributions.
  • Demonstrated ability to manage multiple projects simultaneously while maintaining attention to detail. Pay: $55,000.00 - $70,000.00 per year

Requirements

Do you have experience in Volunteer management?, * Proven experience with CRM software such as Raiser’s Edge, Salesforce, or Ellucian; familiarity with databases is essential.

  • Strong background in fundraising, nonprofit management, or university experience related to development or alumni relations.
  • Excellent skills in event planning, public speaking, social media management, email marketing, and relationship management.
  • Ability to develop strategic plans aligned with organizational goals while executing detailed stewardship activities effectively.
  • Knowledge of grant proposal writing processes and experience in business development are highly desirable.
  • Exceptional communication skills, both written and verbal.
