Job description

Provide assistance in the oversight of programming funds within the Facilities Management Department. Assist with development, implementation and management of Capital and General Operating Funds. Responsible for the analysis of accounting processes for trending and benchmarking purposes. Applies fundamental accounting concepts, practices, and procedures. Ensures compliance of accounting policies and procedures. Responsible for verification of monthly, annual, and program reconciliations. Assists with compilation of information needed for financial purposes. Works under general supervision with latitude for exercising independent judgment and initiative. Oversees the department’s Computerized Maintenance Management System (CMMS)., 1. Analyzes department budgeting and accounting reports for the purpose of maintaining expenditures and program controls.

  1. Analyzes budgeting expenditures for compliance with approved budgets.
  2. Develops analysis for historical trading by funding source and program.
  3. Performs specialized accounting skills under minimal supervision in conformance with established methods and procedures.
  4. Frequent contact with District personnel.
  5. Assists with Accounts Receivable transactions to include processing of donations for project execution and charter school billing, as needed.

  6. Responsible for high level of accuracy.
  7. Oversees and manages monthly reconciliations.
  8. Creates and monitors a system of controls, practices, and procedures, to include managing the Brightly Software/Facility Condition Assessment.

  9. Keeps immediate supervisor and designated others fully and accurately informed concerning work progress, including present and potential work problems.

  10. Recommends to management any updates to accounting practices and procedures.
  11. Results oriented with strong sense of initiative and urgency.
  12. Ability to analyze issues, shift priorities, and cope with ambiguity in a fast paced environment.
  13. Comprehends District goals, objectives, and operations and relates those to budget analysis and actual expenditures.
  14. Provides technical support and program accounting tasks to include budget analysis, budget transfers, and expenditure transfers.
  15. Performs related accounting tasks to include budget analysis, budget transfers, and expenditure transfer.
  16. Takes initiative to identify training needs and execute coaching.
  17. Assists with compilation and development of GOF budgets.
  18. Carry out assigned projects to their completion.
  19. Primary administrator of Assets Essentials, the Department’s CMMS., 1. Establishes effective working relationships with employees and general public.
  20. Maintains accurate records and files in compliance with policies and regulations.
  21. Provides suggestions for a new and improved way of addressing issues and needs.
  22. Serves on project teams for process improvement.
  23. Prepares documentation, as needed.
  24. Identifies and develops long range plans to address departmental and management goals and objectives.
  25. Answers telephones, as needed.
  26. Responds to incoming requests.
  27. Performs other duties as assigned by the supervisor.

Requirements

EDUCATION: High School Diploma or Equivalent Associate’s Degree Bachelor’s Degree

Master’s Degree Other, 1. Associate Degree in Accounting, Finance, Business Administration or related field with 2 or more years of experience in accounting or office management to include exposure to familiarity with budgeting, accounting, financial planning processes and procedures.

  1. Must be proficient in English, verbal, and written. Displays excellent communication and analytical skills.
  2. Displays leadership ability.
  3. Computer proficiency with MS Office, Google, and expert in Excel.
  4. Excellent customer relation skills.
  5. Proficiency in operating standard office equipment - copier, computer, calculator, telephone, etc.
  6. Develop, type, edit, and prepare reports, presentations, and correspondence.
  7. Team player., High School Diploma or Equivalent

Associates Degree

Bachelors Degree

Masters Degree, JOB PURPOSEREASON EDUCATION High School Diploma or Equivalent Associates Degree Bachelors Degree REQUIRED QUALIFICATIONS Masters Degree Other EXPERIENCE TRAINING, Strong analytical skills, attention to detail and ability to work independently. Experience working with computer based accounting, and financial systems. Experience with Microsoft Excel, Word, Power Point, and Access. Must be adaptable to fluctuating deadlines and schedules. Ability to multi-task, organize, and prioritize duties. Excellent telephone etiquette. Ability to deal effectively with the public and internal personnel. Ability to handle stress of multiple deadlines and constant change., * 2+ years of supervisory experience.

  • Architectural Engineering or Construction Management background., 1. Must be able to handle varying degrees of stress which are driven by the requirement to meet schedules and deadlines. 2. Dexterity of hands and fingers to operate a computer keyboard, mouse, and other computer components. 3. Ability to sit for extended periods of time. 4. Work is performed in a normal heated or air conditioned office environment. 5. Exerting up to 10 pounds of force occasionally and able to lift, carry, push, pull or otherwise move objects. 6. Ability to multi-task. 7 Adjust to changing requirements.
