Job description
We are seeking an organised, proactive, and detail-oriented Data Quality Administrator to join our practice team on a fixed-term maternity cover contract. The successful candidate will play a key role in supporting data quality, chronic disease management, patient recall systems, rota administration, and clinical coding activities, helping the practice maintain high standards of patient care and regulatory compliance.
This is a fixed-term maternity cover position starting in December 2026 and expected to last approximately 13 months. Although this role is offered on a temporary basis, there may be the opportunity for continued employment within the practice subject to service needs and vacancy availability.
Job role:
To support the delivery of high-quality patient care through the accurate maintenance of clinical records, management of patient recall systems, chronic disease monitoring, clinical rota administration, and data quality improvement activities. The postholder will work closely with clinical and administrative teams to ensure compliance with Quality and Outcomes Framework (QOF) requirements and the effective management of long-term conditions., Clinical Data Quality and Coding
- Maintain and improve the accuracy and quality of patient records.
- Process coding requirements arising from clinical correspondence and patient reviews.
- Ensure patient records are updated accurately and in a timely manner using SystmOne.
Quality and Outcomes Framework (QOF)
- Support the management and monitoring of QOF indicators.
- Identify patients requiring reviews, investigations, or follow-up interventions.
- Assist with the maintenance of disease registers and ensure clinical data is coded accurately to support QOF achievement.
Long-Term Condition (LTC) Management
- Support the administration and monitoring of long-term condition programmes.
- Complete LTC searches, reporting requirements, and patient identification processes.
- Assist with identifying patients requiring annual reviews, monitoring, and follow-up appointments.
Recall Management
- Manage and maintain patient recall systems.
- Conduct regular recalls
- Sending patient communications requesting blood and urine tests.
- Liaising with GPs regarding coding reviews where required.
- Review and action recall tasks received from clinicians.
- Contact patients to arrange appointments, reviews, investigations, and follow-up care as appropriate.
- Monitor and support additional recall programmes as directed by the practice.
Appointment and Clinic Coordination
- Coordinate and maintain rotas for:
- General Practitioners (GPs)
- GP Registrars
- Nurses
- Healthcare Assistants (HCAs)
- Medical Students
- Ensure associated appointment templates remain accurate and up to date.
Governance Support
- Maintain records relating to Significant Events.
- Assist with data collection and reporting activities as required.
- Support audits and quality improvement initiatives.
System Maintenance
- Running clinical reports
- Support data integrity and practice system maintenance
Requirements
Essential
- Previous experience in an administrative role within primary care or healthcare.
- Experience of working with SystmOne.
- Understanding of clinical coding and patient record management within a primary care setting.
- Strong organisational and time-management skills.
- Excellent attention to detail.
- Ability to work independently and prioritise workload effectively.
- Good written and verbal communication skills.
- Competent in Microsoft Office applications.
Desirable
- Knowledge of QOF and long-term condition management.
- Experience of patient recall systems and chronic disease monitoring.
- Understanding of NHS primary care processes and reporting requirements.
- Experience of rota management and appointment scheduling.
