Job description
The Onboarding Specialist will guide new customers from signed agreement through successful adoption. - Document customer workflows and translate them into clear configuration and implementation plans.
- Coordinate setup of customer accounts, permissions, workflows, templates, data, and integrations.
- Work with customer IT contacts and our technical teams to troubleshoot connectivity, data exchange, configuration, and workflow issues.
- Create practical implementation timelines, task lists, meeting notes, risk logs, and launch-readiness checklists.
- Deliver live and recorded training for admissions, clinical, administrative, and leadership users.
- Adapt training to different levels of technical comfort and different customer workflows.
- Follow up consistently with customer teams after training and launch to reinforce adoption and resolve friction.
- Monitor usage, identify gaps, and recommend additional training, configuration changes, or process improvements.
- Maintain accurate customer documentation and communicate status clearly to internal stakeholders.
- Capture customer feedback and recurring issues so product and engineering can improve the platform.
- Help create repeatable onboarding playbooks, training materials, FAQs, and internal procedures as the company grows.
What success looks like:
- Customers launch on schedule with clear expectations and minimal avoidable friction.
- Users understand the workflows relevant to their jobs and can perform them confidently.
- Integrations, permissions, configurations, and training requirements are documented and completed accurately.

- Each onboarding produces useful feedback that improves the next onboarding.
