Job description
The Enrollment Services Data Technician provides technical and operational support for enrollment systems and processes by developing reports, processing complex data requests, maintaining data integrity, supporting student information and CRM systems, and assisting with admissions, registration, records, and communication functions. The position also supports student outreach initiatives through the preparation and distribution of enrollment-related communications, including email and text messaging campaigns., * Develop, maintain, and execute database queries and reports using Microsoft Access, Insights, Argos, Excel, and other reporting tools to support operational, compliance, and reporting requirements.
- Process complex data requests and provide accurate, timely data extracts, reports, and information to internal and external stakeholders.
- Provide technical and functional support for TargetX (Salesforce CRM), web-based enrollment services, Ellucian Banner Student Information System, and Ellucian Banner Extender document imaging and scanning solutions.
- Utilize TargetX to create reports, develop email templates, execute email and text communication campaigns, and upload data through integration tools such as Informatica.
- Prepare and distribute enrollment-related communications to students, faculty, staff, and the public regarding services, procedures, deadlines, and program information.
- Execute scheduled communication activities, including text messaging and email campaigns, in accordance with established communication plans.
- Develop and analyze queries to verify data integrity, accuracy, and compliance within Student Services systems and processes.
- Perform admissions processing, registration support, transcript production, transcript evaluation, graduation checkout, and other Enrollment Services functions.
- Create, update, and maintain system documentation, procedural manuals, user guides, and training materials.
- Monitor and resolve duplicate records within TargetX using Cloudingo to maintain data quality and system integrity.
- Monitor application integration processes through Axiom, identify processing errors, and resolve issues to ensure successful data transmission between systems.
- Perform data imports, exports, validation, and reconciliation activities to support enrollment operations and reporting requirements.
- Maintain confidential student and institutional records in accordance with FERPA and established policies and procedures.
- Assist with system testing, data validation, and implementation of system enhancements, upgrades, and process improvements.
- Provide technical assistance and system support to Enrollment Services staff and other college departments.
- Perform other duties as assigned.
- Utilize artificial intelligence (AI)-enabled tools and software to support administrative operations, including drafting correspondence, organizing information, scheduling, data entry, document preparation, meeting summaries, workflow efficiency, and other responsibilities, while ensuring accuracy, confidentiality, and compliance with institutional policies, procedures, and applicable regulations.
Hours/Schedule:
- Variable hours, Monday through Friday 8:00AM - 6:00PM.
This position is identified as Work from Home eligible up to two (2) days per week, based on determination that essential duties can 1) be performed outside of the worksite, 2) be performed without access to equipment, material, and files located on campus, 3) be performed without face to face contact with supervisor, students or staff, and 4) be performed remotely with an overall neutral effect on students, co-workers, and the organization as a whole.

Requirements
- High School diploma or GED equivalent and 45 credit hours in related coursework and five (5) years relevant work experience OR the equivalent combination of education and work experience.
- Experience with staff training.
- Experience with Microsoft Access, Excel, and Word.
- Successful completion of a computer programing class preferred.
- Experience creating and running data queries within a relational database and providing data to users from database and spreadsheet software.
- Experience providing data to users from database and spreadsheet software.
- Aptitude for detail work with ability to organize and prioritize workload.
- Ability to fluctuate with peak work demands and high stress periods.
- Ability to understand and explain institutional policy and procedures to students and staff.
- Excellent communication skills (written & verbal).
- Ability to analyze data in response to user questions.
- Conflict resolution skills and experience.
- Demonstrated ability to use standard office technology and emerging AI-supported productivity tools in a professional environment for drafting correspondence, meeting summaries, scheduling, note organization and other administrative related tasks. Ability to evaluate AI-generated content for accuracy, maintain confidentiality, and apply sound judgment and ethical practices in the use of AI technologies.
