  • Review and interpret IT contracts including software agreements, EUAs, contractor, and confidentiality agreements to ensure compliance.
  • Support basic budgeting and accounting: research payments, track invoices, and assign appropriate department account numbers.
  • Maintain and update Information Technology Asset Management (ITAM) systems for requests and incidents, ensuring data integrity and timeliness.
  • Assist IT Asset Analyst teams in responding to Service Now requests and support procurement and deployment activities as needed.
  • Create and implement educational plans to inform the organization about IT asset processes and policies for improved adoption and compliance.
  • Collaborate with management to develop, revise, and enforce IT asset procedures and policies to optimize the enterprise environment.
  • Mentor IT Asset Analyst peers, serve as an escalation point within the team, and promote productive, positive team dynamics.
  • Manage hardware asset tracking and administration, including lifecycle reports, lease management, replacement planning, and acquisition recommendations.
  • Ensure hardware and software inventories are accurate and report on asset locations and status using tools such as Absolute, Service Now, and PDQ Inventory.
  • Conduct software license administration, including license tracking, renewal monitoring, compliance assessments, and database maintenance.
  • Participate in and lead software license audits, collaborate with vendors on invoicing and licensing accuracy, and negotiate contracts and EULAs for cost optimization.
  • Manage and standardize software licenses and purchasing documentation to support compliance, risk mitigation, and effective asset management practices.

Requirements

  • 5-7 years experience in IT asset management or a related field, including hands-on auditing of hardware and software assets.
  • In-depth knowledge of hardware and software terminology, licensing models, and compliance requirements.
  • Demonstrated ability to use IT purchasing, ordering, and billing/invoicing systems.
  • Ability to develop and execute search queries or filters to identify hardware and software within IT asset inventories.
  • Strong process improvement skills-able to develop, document, and implement new procedures to optimize asset management and risk avoidance.
  • Excellent organizational, written, and verbal communication skills for collaboration with teams, end-users, and vendors.
  • Proficiency with asset management, inventory, and discovery tools (e.g., Absolute, Service Now, PDQ Inventory).
  • Experience in budgeting, cost tracking, invoice reconciliation, and maximizing ROI through hardware/software standardization.
  • Proven ability to mentor peers, provide escalation support, and contribute to a constructive team environment.
  • Strong skills in prioritizing projects and meeting deadlines under the guidance of IT leadership.
