Job description

Assist in the organization and coordination of all aspects of the IT Solutions and Design Department through providing support to the Director of IT Solutions and Design.

  • Perform general secretarial and clerical duties in the IT Solutions and Design Department. o Assist with accurate financial/accounting records for the budget as assigned. o Assist with work orders and/or purchase orders as assigned. o Transcribe various reports, forms, memos, and letters from manuscripts as assigned. o File various correspondence, reports, forms, and publications in an accurate and orderly fashion. o Assist in compiling and preparing data for budget, staff meetings, and conferences. o Maintain adequate supplies in the department’s supply cabinets. o Schedule, cancel, and reschedule meetings, conferences, and appointments as directed. o Reserve building or online conference rooms as directed.

  • Communicate in a businesslike, courteous, and efficient manner. o Cooperate with and maintain a positive relationship with other employees of the offices to which assigned. o Cooperate with and maintain a positive relationship with all other school system employees. o Provide exemplary customer service to all contacts.

  • Maintain familiarity and a general working knowledge of the functions and responsibilities of the offices of IT Solutions and Design. o Act as the liaison between all offices of IT Solutions and Design. o Direct personnel seeking assistance from IT Solutions and Design to the appropriate party. o Assist in maintaining maintenance agreements, warranty expirations, and inventory listings of equipment as assigned. o Assist in maintaining budget account balances as assigned. o Assist with the receiving and logging of hardware and software. o Establish and maintain a general knowledge of district policies and procedures with an emphasis on those pertaining to IT Solutions and Design. o Establish and maintain vendor contacts for timely information on equipment pricing and availability. o Attend staff meetings and takes detailed notes. o Assist with the receiving of leave data for employees of IT Solutions and Design. o Assist in meeting preparations. Physical Demands: While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus. The employee is required to operate a motor vehicle in performance of duties. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Requirements

Do you have experience in Vendor relationship building?, Do you have a High school diploma or GED?, + H.S. Diploma or General Education Degree or equivalent Required

  • Bachelor’s Degree in related field Preferred Experience Qualifications:

  • 3 years in an office/clerical environment Required
  • Experience in information management Preferred Skills Qualifications:

  • Ability to communicate with others in an effective and tactful manner
  • Ability to exercise independent judgment, troubleshoot, and solve problems
  • Ability to follow oral and written instructions quickly and accurately
  • Ability to work well with school personnel
  • Ability to detect and correct errors in standard English language usage
  • Proficient in keyboard and typing skills
  • Proficient with the Microsoft Office Suite
  • Willingness to learn new software applications
  • Strong editing, formatting, graphics, and proofreading skills

  • Flexibility and adaptability to change
  • Ability to represent Gwinnett County Public Schools in a positive and professional manner
