Job description
The MIS Manager monitors documentation of services and collaborates with other managers to ensure quality services are delivered. The manager must be able to demonstrate and articulate on-going monitoring methodology, demonstrate documentation of all systems and services, and develop corrective action plans based on monitoring information to improve overall program compliance., * Create, implement, and evaluate a department wide action plan that reflects continuous improvement and reflects fundersā guidance.
- Design and implement an ongoing monitoring system using technology to ensure data accuracy.
- Deliver onboarding and follow-up training to newly hired staff.
- Generate and disseminate attendance and enrollment reports for bimonthly for management meetings and ongoing monitoring.
- Verify the accuracy of current enrollment data and/or monthly encounter records, ensuring they are correct before submitting the information to grant funders and/or billing entities monthly.
- Aggregate and disaggregate program data that can then be used by leadership team members for reporting, grant writing, and ongoing monitoring.
- Collaborate with other content area managers to address program needs.
- Coordinate with external agencies and contracted vendors to troubleshoot and resolve challenges that arise.
- Provide ongoing training and/or technical assistance to staff and leadership team members utilizing agency data systems to ensure accuracy and consistency of information entered.
- Monitor waitlist of eligible children within agencyās data systems and update as needed in collaboration with program managers or directors.
- Enter data into the grant-approved data management system, either independently or in collaboration with direct service staff, as required.
- Assist in developing and updating internal user guides for data entry standards and procedures.
- Attend and participate in department, program, and agency meetings as needed or assigned.
- Provide 1:1 support to staff for applications and web-based platforms (e.g., Go Engage, Learning Genie) on agency issued phones and tablets.
- Set up and tear down meeting (e.g., preservice, in-service, end of year, Policy Council, Governing Board) audio/video equipment, as requested.
- Develop and maintain checkout system for audio/video equipment, division tablets, and related equipment for equipment initially assigned to MIS Manager.
- Attend all department meetings required by the grant, including those organized by team members to provide additional support, and participate in relevant training to promote professional development and meet grant requirements.
- Other duties as assigned.
Requirements
Do you have a valid Driverās License license?, Do you have experience in User training (technical support)?, Do you have a Bachelorās degree?, * BA/BS degree in computer sciences, information technology or an education related field plus two (2) years of experience working with databases, computer systems, and/or web-based platforms. Relevant education and/or experience equal to 6 years may substitute for the education and experience requirements.
- Ability to develop reports and deliver cogent and relevant presentations to peers and leadership members.
- Elevated level of proficiency in PC operating systems and Microsoft Suite programs.
- Experience adopting software and supporting new and seasoned end users.
- In person and virtual training and technical assistance skills that include 1:1 and group support.
- Independent writing and strong verbal communication skills are easy to understand and appropriate for the workplace.
- Ability to work effectively on a team, exercise sound judgment, discretion, and professionalism in all work situations.
- Strong organizational and time management skills that include meeting deadlines and quickly pivoting work focus as needed.
- Demonstrated experience troubleshooting and resolving database and/or computer systems problems.
- Knowledge of rules, regulations, and policies relevant to data processing and ongoing monitoring
- Ability to multitask when multiple deliverables are due within a brief period., This position is exempt from overtime provisions of the Fair Labor Standards Act. This is a professional position, which requires organizational and communication skills, as well as judgment, tact and diplomacy in contacts with Head Start employees, community residents, parents and local government agencies. Strict adherence is required to all regulations concerning confidentiality. Background investigation to include fingerprinting will be required. Physical required at time of hire and may be required every five years. TB Test may be required. Travel may be required. Must submit valid driverās license and proof of satisfactory car insurance under NM Motor Vehicle requirements.
