Current State Assessment & Discovery: Conduct detailed audits of the existing Outlook/O365 environment, including mailboxes, calendar usage, shared resources, and integrations, to inform architectural design.

Google Workspace Design: Design the Google Workspace tenant structure, organizational units (OUs), and user provisioning strategy

Tooling Selection & Configuration: Select, configure, and optimize appropriate migration tools (e.g., Google Workspace Migration for Microsoft Outlook (GWMMO), Google Workspace Migration for Microsoft Exchange (GWME), or third-party solutions) for efficient data transfer.

Security & Compliance: Design and implement robust security settings (e.g., 2-Step Verification, DLP, spam filters) and establish compliance rules and retention policies for Gmail and Google Calendar in alignment with ‘s requirements. Integrate with existing security infrastructure (e.g., SSO via SAML).

Data Migration Strategy: Develop a comprehensive strategy for handling historical data, archives, and retention policies in Google Vault, ensuring data integrity and accessibility.

Network & Infrastructure: Plan for network infrastructure, bandwidth, and firewall rules to optimize migration performance and ensure seamless connectivity.

Application & Integration Management: Inventory all applications and integrations relying on Outlook/O365 and design strategies for their migration or re-integration with Google Workspace.

Workstation Software Removal: Develop technical plans for the phased removal of Microsoft Workstation software (e.g., desktop Outlook client) and align on exception processes for tools like Excel, supporting the transition to perpetual licensed software.

Mobile Device Management: Design and test processes for configuring mobile devices for Google Mail and Calendar in the new environment.

Pilot Program Support: Provide technical expertise and support for pilot group selection, preparation, and execution, including the “expert community” and “high-risk groups (EABP).”

Mass Migration Oversight: Provide technical oversight and troubleshooting during the mass migration execution for the broader workforce in planned waves.

Legacy System Decommissioning: Plan and oversee the phased decommissioning of Outlook/Exchange servers and related infrastructure.

Technical Risk Management: Proactively identify, assess, and mitigate technical risks related to data migration, system performance, security, and integration.

Technical Documentation: Create and maintain detailed technical documentation, architectural diagrams, and configuration guides.

Vendor Collaboration: Collaborate with external vendors and Google technical teams to leverage best practices and resolve complex technical challenges.

Requirements

  • 8+ years of progressive experience in solution architecture, with a strong focus on large-scale enterprise IT migrations.
  • Demonstrated expertise in designing and leading migrations from Microsoft 365 (Exchange, Outlook, SharePoint Online, OneDrive) to Google Workspace (Gmail, G-Cal, Drive, Docs, Sheets, Slides).
  • Deep technical knowledge of Google Workspace administration, security features, and migration tools (GWMMO, GWME, GCDS).
  • Strong understanding of identity management systems (e.g., Active Directory, SAML-based SSO) and their integration with Google Workspace.
  • Experience with cloud-native architectures and leveraging Google Cloud Platform services.
  • Proven ability to design secure, scalable, and highly available enterprise solutions.
  • Excellent analytical and problem-solving skills, with a methodical approach to complex technical challenges.
  • Exceptional communication skills, with the ability to articulate complex technical concepts to both technical and non-technical stakeholders.
  • Experience leading technical teams and guiding implementation efforts.
