Job description

The Registrar’s Office provides the structural support for the College’s academic program. It is primarily responsible for the maintenance of all academic records, the organization of class schedules, and registration for courses. The Office contributes to the College’s academic excellence and student success by coordinating with other administrative offices, providing advice to faculty and faculty committees, and ensuring that students have access to the best possible information about their academic record and progress. The Office ensures the integrity of all records. The Associate Registrar and Technology Manager is responsible for the planning, designing, project management, and implementation of technical and functional systems managed and utilized in the Registrar’s Office. S/he provides leadership in developing and maintaining sustainable solutions for data management and integrity, managing projects, streamlining and refining services, and providing creative and adaptive solutions that help the office best serve the Illinois College community and ensure compliance.

Essential Functions: The following list of duties is meant to be representative of the work performed in this position. The omission of a specific duty or responsibility will not preclude it from the position if the work is similar, related or a logical extension of position responsibilities.

  • Provide technical, analytical, and systems support for the Registrar’s Office, ensuring the integrity, accuracy, security, and confidentiality of student records in compliance with FERPA regulations.
  • Develop, maintain, and troubleshoot reports, queries, and software applications related to student academic records, course information, transcripts, transfer evaluations, and institutional reporting needs.
  • Utilize technology to streamline processes, improve operational efficiency, support data-driven decision-making, and implement short- and long-term technology initiatives across the college community.
  • Manage and maintain student information systems and catalog software, including implementing curriculum updates, overseeing registration processes, and serving as the Jenzabar Module Manager for the Registrar’s Office.
  • Collaborate with cross-functional departments to support academic operations, financial aid compliance, scholarship and course audit processes, graduate reporting, and student success initiatives.
  • Deliver excellent customer service and guidance to students, faculty, and staff through effective communication, training, problem-solving, and support for academic planning and compliance requirements.

Requirements

Do you have experience in Student information system?, Do you have a Bachelor’s degree?, * Bachelor’s degree required

  • Experience with database management required, work with Student Information Systems (SIS), preferably Jenzabar.
  • Functional knowledge of systems and processes related to the Registrar’s Office
  • Intercultural competency; ability to work with individuals from diverse backgrounds required
  • Extraordinary customer service required
  • Ability to multi-task while maintaining an outgoing and friendly manner in a fast-paced office
  • Good judgment in responding to requests, maintaining confidentiality, prioritizing responsibilities and deciding how best to help customers whether they are students, alumni, parents, faculty, staff or others
  • Ability to provide solutions using knowledge of Registrar Office’s functions to ensure requestor’s needs are met
  • Attention to detail and ability to maintain confidentiality
  • Strong organizational skills
  • Excellent problem-solving skills
