Job description

Information Systems and Data Management

  • Assist with data entry and management for OHS federal government management information systems, including the Head Start Enterprise System (HSES), the Office of Head Start Aligned Monitoring System (IT-AMS), and GrantSolutions, ensuring accurate and timely maintenance of all recipient data including contact information, grant cycles, funding levels, enrollment, and reporting due dates.
  • Design and produce management information reports, standardized correspondence templates, and customized email distribution lists on a periodic, cyclical, or ad hoc basis as directed by the Contracting Officer’s Representative (COR).
  • Collect, aggregate, and analyze organizational, management, program, and financial performance data at individual, state, and regional levels; apply knowledge of HS/EHS program domains to contextualize findings and develop high-quality written analytical reports with recommendations for program improvement.
  • Maintain assigned recipient service area and mapping data, ensuring accuracy for Notices of Award; develop data collection protocols and quality assurance processes to ensure the validity of all collected data.

Monitoring Support, Records Management, and Systems Improvement

  • Provide administrative and data management support for OHS on-site monitoring reviews, tracking review schedules, regulatory compliance findings, corrective action timelines, and recipient corrective action status in the Office of Head Start Aligned Monitoring System (AMS); identify and communicate missing records to relevant OHS staff.
  • Monitor recipient issues including external inquiries, complaints, incidents, and special interest situations using existing electronic data systems; analyze trends and patterns and prepare status and management reports as required by the COR.
  • Develop and maintain all official grant files and the Regional Office shared electronic filing system on Microsoft Teams and shared drives, ensuring all records are organized, accurate, and audit-ready.
  • Support assessment and improvement of business processes and information and records management systems, including development of written analytical reports, work plans, procedures, and training materials.

Requirements

Do you have experience in Quality data entry?, Do you have a Bachelor’s degree?, Federal government contractor is looking for an Information Management Analyst to support our engagement with the Head Start Customer Service Improvement Projects (CSIP) under the Office of Head Start (OHS), Administration for Children and Families (ACF). This role is designed for a detail-oriented professional with demonstrated experience in federal data management systems, program and performance analysis, and information and records management in support of Head Start and Early Head Start (HS/EHS) program operations., * Bachelor’s degree in a field related to task activities from an accredited college or university required., * Minimum of 3 years of relevant, progressive post-baccalaureate professional experience in data management, program analysis, and information and records management in a government or nonprofit setting.

  • At least 2 years of experience with Head Start, Early Head Start (EHS), or a related federal early childhood program; demonstrated familiarity with HS/EHS program domains, federal grants data systems, and grant action processing strongly preferred.

Skills:

  • Working knowledge of HS/EHS program domains including education, health and nutrition, mental health, social services, and family engagement, sufficient to contextualize program data and contribute meaningfully across OHS program areas.
  • Proficiency in OHS data systems including the Head Start Enterprise System (HSES), GrantSolutions, and the Office of Head Start Aligned Monitoring System (IT-AMS); experience with grant action processing and program operations data entry required.
  • Advanced proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Access, and Smartsheet; experience with GIS or mapping tools a plus; excellent written and oral communication skills with demonstrated ability to produce clear, accurate reports and correspondence., * Do you have at least 1 year of experience supporting Head Start, Early Head Start (EHS), or a related federal early childhood program preferred and familiarity with HS/EHS program domains, federal grants data systems, and grant action?
  • Do you have proficiency in OHS data systems including the Head Start Enterprise System (HSES), GrantSolutions, and the Office of Head Start Aligned Monitoring System (IT-AMS)?
