Job description

This is a key support role, acting as the first point of contact for the office, managing visitors, calls, and enquiries in a professional manner. Providing administrative support to the Projects team and supporting project delivery through defect management, O&M and Safety File coordination. Maintaining efficient office operations by managing filing systems, client inboxes, job orders, and ensuring compliance with company policies and H&S standards., Be first point of contact in office.

  • Meet and greet all visitors to the office.
  • Answer incoming transferred calls in a corporate and professional manner. Assess importance of each call and appropriate response, relay messages and assist with research/back up information as required.
  • Log, refer and liaise with Customer Service Advisor on all complaints.
  • Liaise with HA representatives relating to defects/issues.

Provide administrative support to the Projects team.

  • Co-ordinate planning of meetings and events.
  • Attend meetings and take minutes if required.
  • Distribute meeting agendas and documents in a timely manner.
  • Organise and maintain Project team directory.
  • Liaise with team on overtime requests and chase team to ensure timesheets are completed in timely manner.
  • Collate and assess weekly timesheets and raise POs accordingly.
  • Other duties as and when requested by Operations Manager/Operations Director.
  • Monitor Client Inboxes and forward on to relevant team members for action and response.
  • Inputting client job orders on to Service Connect.

Project Administration

  • Defect management
  • Collation of O&M and Safety File information in liaison with CMs.
  • Distribute O&M and Safety file information to Clients on requests.
  • Project filing/Drawing updates/Technical co-ordination.
  • Ad hoc management of all correspondence.
  • Production and management of property packs.
  • Administration of deliveries and call offs in liaison with Site Managers.

General Administration

  • Display H&S bulletins and all other site information as required.
  • Assist in ensuring the safe and tidy working environment of the office area.
  • Organise and manage filing electronic and paper filing systems.
  • Order and monitor stocks of office stationery and site teams' requisitions.
  • Compliance with Cardo Group Policies and Procedures
  • Support the client and residents with any enquiries.

Requirements

Do you have experience in Customer service?, * Previous experience in an customer service role

  • Strong communication and interpersonal skill
  • Highly organised with the ability to prioritise tasks throughout the day
  • Confident working with internal systems and client portal
  • A team player with a proactive, problem-solving mindset
