As our Document Controller, you'll play a central part in supporting the Senior Document Controller to drive consistency, quality, and control across every project we deliver. From initiation to completion, you'll be the guardian of accurate, traceable and compliant project documentation, keeping teams aligned and projects moving with confidence.
In this role, you won't just manage documents but you'll shape how we work. You'll champion best practices across all projects, ensuring a high level of precision, consistency and auditability that strengthens project visibility and empowers proactive decision-making on strategically important international programmes.
The role will be based in our Westhill office and we offer hybrid working arrangements. What you'll be doing:
- Maintain and manage revision control for all documentation, digital and physical, including process work instructions, ensuring standard forms and templates are used.
- Support the processing of incoming and outgoing documents, including registration and internal distribution.
- Ensure the latest approved documents and drawings are controlled and distributed both internally and externally.
- Coordinate and maintain project reports and registers.
- Liaise with project teams to support efficient document flow, handover, and project close-out, ensuring consistent document control practices.
- Produce overdue reports for internal teams, clients, and suppliers.
- Assist in creating and maintaining the Master Document Register with the Senior Document Controller and project teams.
- Carry out additional duties as assigned by the Head of PMO or Senior Document Controller.
Requirements
Do you have experience in Microsoft Office?, * Must hold, or be able to obtain, security clearance from relevant Defence Authorities.
- Previous experience in a similar role/or administrative role.
- Strong attention to detail and communication skills.
- Able to prioritise tasks and manage time to meet deadlines.
- Advanced user of MS Office; experience with PLM systems is advantageous.
- Strong ability to manage documents in a controlled, compliant format.
- Methodical, thorough, and highly organised.
- Strong analytical skills with the ability to extract, review, and validate data/reports.
