We are looking for an experienced and enthusiastic administration support specialist to support our Innovation arm as well as the wider team, who can hit the ground running and provide a high level of support, ensure smooth-running operations and offer a wide range of skillset to the team including the CEO. We are a small team who work in a fast-paced environment, therefore we need someone who takes pride in efficiency, is enthusiastic over each task whether it be taking minutes in a meeting, updating a spreadsheet or coordinating an event for 120 people. We want a focused support specialist that can make an impact on the team, is ambitious to develop in the role and help us make our global mission a reality., * Providing operational and administrative support to the team and ensuring compliance with company procedures
- Assisting with budget monitoring, processing invoices and maintaining records
- Meeting and logistics co-ordination (in person and on-line) including agenda and slide preparation, creating minutes, arranging travel, accommodation and venue bookings for events.
- Dealing with project documentation including contracts, progress tracking
- Dealing with incoming and outgoing correspondence
- Electronic filing and archiving
- Creating and managing documents, spreadsheets and presentations
- Managing diaries for team members
- Planning and attending conferences, dinners and events e.g. Innovandi Spring Week Meetings
- Supporting the Head of Administration, CEO and Executive team with co-ordination and planning of GCCAs annual conference and other global events.
- Speaking to customers and clients to answer queries and resolve issues
- Ensuring relevant website and extranet pages are up to date
- Develop Hubspot to create a new GCCRN contact database
- Provide cover as required for the administration team

Requirements
- A minimum of 5 years experience in an administrative role
- Excellent communication and interpersonal skills
- Highly organised and process driven
- Ability to manage multiple tasks
- High attention to detail
- Understanding of operations across different timezones
- IT literate and confident using a range of programmes including Microsoft 365 Suite, Hubspot, Co-Pilot, Zoom, XERO, Wordpress
- Time management skills and the ability to prioritise workload effectively

- Problem-solving skills and the ability to come up with creative solutions to issues
- Able to work with a team, take direction from others and collaborate effectively
- Project and event management experience
