Job description

Congenital heart disease (CHD) is a heart condition or defect that develops in the womb before a baby is born. Heart defects are diagnosed in at least 1 in 150 births, which equates to an average of 13 babies each day in the UK. Estimates suggest as many as 1-2 per cent of the population may be affected.

Newcastle Upon Tyne NHS Foundation Trust is responsible for the only cardiothoracic centre in the UK that provides adult and paediatric (congenital) heart and lung surgery, heart and lung transplantation and mechanical circulatory support all under one roof. Our highly specialist services, for example transplant surgery, are offered to anyone in the UK with more complex heart or lung related conditions.

We are currently looking for a strategically minded and technically astute individual to join the Cardiothoracic Services Data Team as the CHD Data Manager.

Main duties of the jobAs a senior member of the team you will directly manage staff as well as provide professional and technical support to the wider team. On occasion, you will identify users to manage specific tasks and deliver specialist training to ensure staff knowledge and skillsets are fit for purpose.

You will communicate with a range of professions both internally and externally to the Trust. The postholder will develop and maintain good working relationships with others and ensure information is effectively sourced for various areas and accurately transferred between sources. In addition to coordinating dataflows, you will build subject matter expertise about the information being collected. You will act as a key stakeholder in undertaking critical analysis and promulgating key findings to senior management and clinical staff across the organisation and wider network.

Job responsibilitiesThe key purpose of the role is to provide information and data management services to the CHD Service within Newcastle Upon Tyne Hospital NHS Foundation Trust (NUTH) and support the submission of the National Congenital Heart Disease Audit (NICOR).

To be successful in the role you will be expected to coordinate the collection of complex clinical and operational data for CHD, and to work with clinical teams across the region to maintain the database. You will be responsible for ensuring data completeness and accuracy is maintained by regularly initiating and supervising audits so that the accuracy of the recorded data is of the highest quality.

Whilst the Cardiothoracic Services Directorate is predominantly based at the Freeman Hospital, we support a culture of flexible working, including multi-site working. This means that the successful candidate must be proficient in time-management, adaptable to change at short notice and be resourceful to ensure the teams key objectives are positively achieved.

Provide information and data management services to the Congenital Heart Disease (CHD) Service within Newcastle upon Tyne Hospitals NHS Foundation Trust and support the submission of the National Congenital Heart Disease Audit (NCHDA), to the National Institute for Cardiovascular Outcomes Research (NICOR), within the Trust. The CHD service comprises the Foetal, Paediatric and Adult Congenital Cardiology and Surgery.

The CHD Network Database Manager provides support to the following:

The electronic patient and operational record of Congenital Heart Disease;

The submission of the NCHDA to NICOR, data sets used to measure Trust performance in the specific areas of CHD;

Ensure proactive data reconciliation between clinical information systems and the corporate information systems;

Provision of accurate clinical and management information through reports and information feedback in order to support the business decision-making processes with CHD;

Liaise with the Trusts Corporate Information Team to provide bespoke reports.

Provide audit and in-depth technical system support and advice to CHD staff;

Co-ordinate the collection of complex clinical and operational data for CHD, and to work with the clinical teams within NUTH and across the Network to maintain the database systems in use in CHD;

Provide regular and ad-hoc management information reporting to clinical and management staff in support of business and financial processes using the collected data, in conjunction with colleagues from within the Corporate Information Team as required;

Ensure data completeness and accuracy is maintained across all database systems by initiating and supervising regular and ad-hoc data audits so that the accuracy of the recorded data is of the highest quality;

Submit required National Audit Data Sets used for research and to measure Trust performance in line with internal and national returns;

Participate in Network meetings at other providers of CHD, as required and lead data collation and presentation for Network purposes;

Organise staff training to ensure the database systems are being utilised to maximum potential, as required;

Develop, implement and maintain a robust and accurate data collation process and system, capturing all clinical related activity;

Identify future areas for data capture, analysis and reporting to support strategic planning and general operations;

Translate complex information to produce appropriate, timely and accurate information and reports to the executive team and departments and external commissioners;

Identify, train and support users for specific databases or aspects of certain databases and, in collaboration with them, develop and deliver specialist database training and maintain an oversight of all database training materials;

Work collaboratively with users of the hospital databases and systems to ensure they are used effectively and able to support current and future business intelligence needs;

Create and maintain up-to-date system documentation such as user-friendly training manuals and guidelines that are readily accessible and understandable;

Manage the relationships with database suppliers escalating issues of concern or development needs, where appropriate;

Relevant Degree Qualification

Knowledge and Experience

Knowledge of identifying processes to improve efficiency of data processing

Awareness of current data protection legislation

Significant experience of both patient and process data collection

Experience or knowledge of electronic records

Experience in analysing large data sets

Experience in producing high quality reports, manipulating data, performing data analysis and producing reports in tabular, graphical and other formats

Specialist knowledge of Microsoft Office Suite including PowerPoint, Excel and Access (databases) to ECDL level or equivalent

Ability to analyse problems in real time and understand user requirements
