The Financial Administrator will offer strong financial administration, actively supporting the work of the CEO and a small (remotely based) team of Associate Facilitators in the delivery of participatory and community-based peacebuilding programmes.Responsibilities Maintain (digital Financial Log) - Income and Expenditure Ledger.Produce Income & Expenditure Reports (restricted /unrestricted) as required for the Board (bi-monthly mtgs).Undertake Bank Reconciliations (monthly).Undertake all organisational financial transactions - in accordance with Financial Procedures e.g. Salaries, HMRC, Pensions, Employers and Employees NIC calculations.Check invoices for accuracy, signatures in advance and complete BACS requisition forms of invoice payments.Prepare necessary paperwork for CEO for verification of spend.Inform Directors when payments are ready for authorising.Update Project Budget Records (monthly/bi-monthly/quarterly).Where required produce Annual Central Budget/ Spreadsheets pertaining to the annual organisational operation (e.g. indicating, Salaries, HMRC, Pensions, Employers and Employees NIC calculations etc) and liaising with Finance Managers across depts.Maintain purchasing and payment of goods and services records.Complete financial drawdown details with relevant funding bodies (in accordance with funder's guidelines).Maintain a Funding/Reporting Calander and support the CEO in ensuring all Financial and Narrative are Returned in a timely and proper manner.Support CEO in submitting Financial Reporting and Monitoring Returns, completing Financial sections of Funder Monitoring Forms.Preparation of Financial Information for and execution of all Audits and Funder verification visits.Undertake correspondence with Accountants regarding annual reporting (Yearly Accounts).Undertake correspondence and updates required by Company House and Charitable Commission NI (in accordance with legislation) i.e. file accounts, company tax return (annually, and as and when required).Support the CEO in enabling good governance practices e.g. preparation and circulation of papers in advance for Board of Directors, notice of AGM, digital diary of Board Meetings etc.Support CEO by undertaking Procurement and maintain procurement records.Maintain the office space and Library and act as a point of contact.Maintain the Central Digital Record of all Programming Activity.Create QR codes for Registration & Attendance.Maintain Participant Databases (in accordance with GDPR and funding guidelines).Issue Invites to The Junction Events, and AGM.Support Event organisation where required, booking venues, hospitality registration using digital Events platforms (Eventbrite/TicketTailor), and providing support for the set up for events.Support Publishing - keep an Inventory of all Publications, acquisition of ISBN numbers (once a year), support distribution.Share approved Updates on The Junction's social media platforms and website.Circulate (occasional) digital newsletters, The Finance Manager is responsible for the management of accurate and up to date financial systems and for carrying out related administrative and support tasks:Oversee the day-to-day maintenance of all financial information and systemsPreparation of management accounts and..., We seek a Fundraising Administrator to join our team.
