Job description

We're looking for a confident, proactive administrator to play a key role in maintaining our quality systems. You'll be at the heart of the business, acting as a central point of coordination and working closely with teams across the organisation to keep processes and documentation accurate, well-controlled and continually improving. What you'll be doing

  • Managing and maintaining the organisation's quality management documentation, ensuring it is accurate, up to date, well-structured and clearly presented
  • Controlling document versions, metadata, templates and formatting to meet internal standards
  • Creating and maintaining guidance manuals that explain how systems are managed and governed
  • Updating, adding and removing content in line with requests from content owners
  • Monitoring document usage and feedback to drive improvements
  • Supporting system issues by raising and tracking IT support tickets
  • Promoting the importance of quality, governance and good documentation across the business
  • Preparing a monthly summary of system changes for visibility and communication
  • Using internal communication channels to raise awareness and encourage engagement
  • Providing ad-hoc support to users of the Project Gateway Governance system, This role would suit someone who enjoys taking ownership, improving how things work, and being a trusted point of contact across the business.

Requirements

  • 5 GCSEs (grades A-C / 9-4), including Maths and English
  • Experience in an administrative, coordination or operational support role
  • Strong document management, record-keeping and proofreading skills
  • Confident communicator, comfortable presenting and engaging with people at all levels, including senior stakeholders
  • Proactive, organised and detail-focused
  • Able to work independently and manage priorities effectively

Desirable

  • An analytical mindset with the ability to interpret and present data
  • Ability to handle confidential information with professionalism and discretion
  • Proficient in Microsoft 365
