Job description

An exciting opportunity has arisen for a MIS Reports and Admin Office to join our MIS Exams and Registry department.

The purpose of the role is to process data relating to student enrolments and attendance, ensuring accuracy of data on a timely basis for the submission of data to external agencies and for use internally. Create and maintain reports of student data as required by management., · Develop, maintain and review the College suite of reports and dashboards, extracting and purposefully presenting data in an informative format.

· Manage data to support reporting, including the creation and maintenance of databases and stored procedures, using MS SQL Server, SSRS/SSIS and ensuring these data sources have appropriate data security

· Maintain an understanding of the technical aspect of the job and keep abreast of technical development and emerging technologies and reporting strategies

· Respond quickly and efficiently to ad hoc data requests to suit the needs of the business.

· Support with other duties across the MIS department, as required.

· Advise staff on accessing information and to provide in-house training for staff in the use of information systems and other systems as appropriate

· Streamline reporting process via Flow

· Investigate other methods of using MIS data via other tools such as Microsoft Power BI / AI

· Document standard operating procedures

· Engage with MIS groups / forums

· Process New Course Forms, maintain and set up Course Codes and Occurrences via EBS Central.

· Check and generate part time/HE Enrolment paperwork and send out weekly 'not generated lists' to chase for missing forms and highlight outstanding queries.

· Run the ILR and assist the MIS Manager in correcting any errors caused by generating.

· Set up/maintain learner records on Learning Curve system as signed enrolment paperwork is received, request initial contact log from assessor to confirm start date and allow funding to be claimed.

· Manage learner progressions via EBS. Send to SLT for authorisation and process as per last date of attendance on registers.

· Assist with Timetabling and general amendments to registers as required.

· Assist with the process of updating qualification results on the college ILR.

This role requires you to engage in regulatory activity in the FE sector. The full definition of regulatory activity is set out in the Safeguarding Vulnerable Groups Act 2006 as amended by the Protection of Freedoms Act 2012. Regulated activity includes teaching, instructing, caring for or supervising children if the person is unsupervised.

Grantham College operate a 4-day working week. Staff benefit from working a full-time contract over four days. You will work core hours of Monday to Thursday, working a Friday morning once a month

Requirements

· GCSE Mathematics and English at level C/ 4

· IT skills including Microsoft Office (Word/Excel/Outlook/Teams

· Ability to understand and use MS SQL.

· Ability to work on own initiative and prioritise workload producing accurate work to tight deadlines under pressure

· Flexible and adaptability with a methodical and organised approach to work

· Good communication skills both written and oral

· Ability to work as part of a team and autonomously and to follow instructions and meet agreed timescales

· Good organisational skills and able to work without supervision

· Willingness to learn and maintain confidentiality

  • Experience and knowledge of FE and funding would be desirable
