Job description
The Market Center Operations Assistant is a highly organized, detail-oriented "task master" who thrives in a dynamic environment (meaning: priorities shift, and you adjust without needing a moment to stare into the void). You're equally comfortable managing executive calendars as you are working through numbers and financial processes-and you don't find either one particularly dramatic. You like solving problems, tracking down missing information, and keeping things running smoothly behind the scenes-preferably before anyone else notices there was ever an issue.
You're proactive, dependable, and service-minded, with strong follow-up skills (because "I thought someone else was handling it" is not your brand). You balance urgency with a steady, methodical approach, and you communicate clearly without overcomplicating things.

Essential duties and responsibilities
Leadership & Administrative Support
- Manage calendars, appointments, and priorities for leadership
- Schedule agent consultations, onboarding, and key milestone meetings
- Coordinate travel, events, and training logistics
- Coordinate monthly agent recognition lunch, including making reservations and sending invitations
- Manage Top 20% agent recognition program including email campaigns and event planning
- Maintain reports and dashboards for key performance metrics (growth, capping, profit share)
Financial & Operations Support
- Process commission requests and payments
- Assist with agent billing and payments
- Assist with bookkeeping, including daily account reconciliations
- Support financial reporting and Market Center performance tracking
- Manage KW Luxury Broker approval and notification process
- Provide CEO with profit share distribution reports
- Provide operational and administrative support to the Market Center Administrator
Requirements
- Demonstrable knowledge of and experience using Canva
- Demonstrable knowledge of social media platforms and their respective analytics: Instagram, Facebook, LinkedIn, Google Business Profile, etc.
- Demonstrable knowledge of and experience creating short-form video content (Instagram Reels, YouTube Shorts)
- Command of CRM Platforms: Mailchimp, Constant Contact, etc.
- Microsoft Suite Products: Word, Excel, and PowerPoint
- Google Workspace: Drive, Gmail, Calendar, Docs, etc.
- Smart phone capable
Preferred Knowledge/Skills
As Operations Assistant, you will be able to demonstrate some experience with or exhibit the following:
- General office skills - Calendaring, scheduling, professional acumen
- Computerized bookkeeping and familiarity with a chart of accounts
- Banking and deposits
- A/R, A/P, and payroll
- Microsoft Office Suite, with an emphasis on Excel
- Excellent administrative skills
- Task and detail oriented
- Calm under pressure
- Project management experience (preferred), * Do you have experience using Canva?, * Bachelor's (Preferred)
