Job description

The Agency Data and Systems Manager is responsible for ensuring the accuracy, consistency, and integrity of data within the Agency Management System (Applied Epic). This role establishes and maintains data standards, trains and supports staff in proper system usage, conducts audits to ensure compliance, and partners with leadership to ensure data reliability for operational and strategic decision-making.

This position works closely with Commercial Lines, Personal Lines, Operations, and the Leadership Team and serves as the primary owner of agency-wide data standards within the Agency Management System.

Data Governance & System Standards

  • Establish, document, and maintain agency-wide data entry standards and Standard Operating Procedures (SOPs) for client, policy, and account records within Applied Epic.
  • Define and enforce required data fields, protocols, and system usage standards to ensure data completeness, accuracy, and consistency.
  • Serve as the subject-matter expert for Applied Epic data structure, required fields, and best-practice usage.
  • Maintain accurate carrier download configurations and ensure proper data mapping and system alignment.

Training & Staff Enablement

  • Develop and deliver onboarding training for new employees on Agency Management System data standards and procedures.
  • Provide ongoing and remedial training for existing staff to address data quality issues, system changes, or process updates.
  • Partner with department leaders to reinforce expectations and promote adherence to established data standards.

Monitoring, Auditing & Compliance

  • Conduct regular audits of client and policy records to ensure compliance with established data and account standards.
  • Identify data integrity issues, trends, and recurring gaps and report findings to department leadership and the Leadership Team.
  • Recommend corrective actions, retraining, and process improvements to address non-compliance and data quality risks.
  • Support invoice review and correction processes as needed, including training staff on proper setup and procedures within the Agency Management System.

Operational Efficiency & Continuous Improvement

  • Recommend and implement system and process improvements to enhance efficiency, data reliability, and system utilization.
  • Stay current on Agency Management System enhancements, functionality updates, and industry best practices through ongoing education, training, and professional development.
  • Participate in special projects, as assigned.

Compliance & Professional Responsibilities

  • Demonstrate compliance with applicable insurance laws, regulations, and internal policies.
  • Maintain confidentiality and safeguard the integrity of agency and client data.
  • Assume additional duties and responsibilities as assigned.
  • Regular attendance is an essential function of this position.

Requirements

  • Bachelors Degree or a minimum of five years related experience and/or training; or equivalent combination of education and experience.
  • Proficient in Microsoft Office Suite (Word, Excel, Access, Power Point).
  • Excellent verbal and written communication skills are essential.
  • Ability to perform effectively in an environment where confidentiality, maturity, sound judgment, initiative, and professionalism are required.

CERTIFICATES, LICENCES, REGISTRATIONS:

Property & Casualty License required., While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. The employee must have the ability to lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision.

Salary Range: $90,000 - $120,000

The pay range is the lowest to highest compensation we reasonably in good faith believe we would pay at posting for this role. We may ultimately pay more or less than this range. Employee pay is based on factors like relevant education, qualifications, certifications, experience, skills, seniority, location, and performance. This range may be modified in the future.
